So we have a 5 seat license for our software, but we want to add a sixth. So we don't have to buy any more licenses can we are just going to give one of our already existing licenses to another user. So the user that will be giving their license up, do we need to disable or delete this user within our management portal of QB?
Solved! Go to Solution.
You can start to uninstall QB on the old machine you want to replace. Then install the license on the new one. Open your file as Admin, remove the old username, and add the new one.
Hello, web_95.
Thanks for joining the QuickBooks Community. Depending on the number of user licenses you have, QuickBooks Desktop Premier allows up to 5 users and Pro allows up to 3 users to work in a company file at the same time.
If you need more than 5 users, QuickBooks Desktop Enterprise Solutions allows up to 30 users working on a company file at the same time.

I am confused. Do you need to add a 6th user or replace any of those 5 users?
We just want another new user to replace a current user. I just did not know if we had to disable or delete the current user in the user management section of QB so that 6 users do not show up. But it sounds like to me, that this current can user can just stop using QB, and the new user can start using it. But if we wanted both the new and the current to use it along with all of our others, then that is when we would need to add more.
You can start to uninstall QB on the old machine you want to replace. Then install the license on the new one. Open your file as Admin, remove the old username, and add the new one.
So Our instance of QB is accessed via RDP to a server, no local install. So your saying we do need to remove this user from the list of users we have, then add the new one?
