Do you have to be logged in as an administrator to import IIF files in Quickbooks Premier 2019?

Welcome and thanks for posting in the Community, @JNS24.

 

That's a great question! I'm here to share some information about importing .IIF files in QuickBooks Desktop (QBDT) 2019.

 

In the new and improved Import .IIF tool for QBDT 2019, you don't need to log in as Admin to do the task. This tool imports lists and transactions more convenient and accurate. It also eliminates the possibility of importing bad data by scanning your file for errors.

 

If the tool finds an error, it will:

 

  • Shows the number of items successfully imported or failed.
  • Provides a new .IIF file of the failed transactions, along with the descriptions of errors found.

 

Here's how to import:

 

1. On your QBDT company file, go to File menu at the top.
2. Pick Utilities, then Import and IIF Files on the drop-down.
3. Choose the Import IIF, then click OK.
4. Once the import is successful, you'll see the numbers of list and transactions imported. Select Done.

You might want to think twice about using the new IIF import.

in 2022 Primer its back to only the CEO/CFO/Controller of the company can do the monotonous daily importing (should be lowest level job).

I get it. intuit doesn't use a product a small as this but some larger companies HAVE made Quickbooks work (and well). Running multiple sets of software can work if done with the right controls and single entry locations for data. Because many of us need industry specific software for our POS, this requires daily imports. And many offices that are doing this well are running multiple companies (we have 10+ we have to import). 

This is our biggest concern about remaining on QB.

I wonder if there is a cheap 3rd party importer we could use/schedule. We don't need to manipulate the .iif data in any way and all I can find are super complicated (and expensive) import manipulators. Until then the 4 accounting clerks will wait everyday for the boss to get out of meetings to import the activity. (strangest rule so surprised can't bypass this security with a USER permission like other retail accounting software's).

Yeah that would be amazing and is very similar to what we need.


But my request is too simple for them as well actually. 

While that program does the scheduled importing for multiple companies via the command line, it does NOT import .iif files. (expects to have to convert the file from another source first. 

Any other suggestions would be greatly appreciated

Did you explore the second app? It can import *.IIF directly into QBD.

I just did... That was a closer solution. Thank you so much for these by the way.

Can import premade (perfect for QB 2019+) .iif's just fine... But it cannot be run via command line automation. (While the other application COULD run via the cmd line at night but could not do .iif files).

I have downloaded the demo (link 2) and will see how much time it takes for a user to manually import companies one after another using this product (cust. service told me they would not have to re-enter the admin P/W each use so that's a start as we are trying to avoid the Admin having to do the manual imports... but would prefer if no one had to of course!)

Just in case you can think of any others: 
Ideally our needs: 
1) import premade perfect .iif's
2) CMD line automation triggered using QB certificate interface (or a stored admin P/W) so all data will be there first thing in the morning for our staff
3) can automate several company files consecutively

Basically we create finished .iif nightly awaiting import for several dif companies/company files. I need an application that will put these imports INTO QuickBooks automatically if possible from the CMD line or a built in scheduler (for 2022 Premier QBD)

For anyone else looking at this. I believe, this is how to beat the admin requirement for imports... 

This program takes monitors a folder, if any iif lands in said folder it will import it automatically into QBD: 
(*accepts .iifs and automated without Admin P/W access to boot!)
