Retrieving an old invoice

I recently transferred an invoice by doing control + M and then control + T. Unfortunately, my invoice was actually never memorized. I deleted out all the sent items and fixed backorder items on the original invoice (Same INV #). Is there a way for me to go to an older saved version, or will I have to redo the entire invoice? I just want to fix this single one and have far too many other invoices to set back the entire invoices from another date.

Retrieving an old invoice

Hello, gdis8.

There are two you can do to retrieve the old invoices. The first one is if you still have a backup copy of your company file before the invoices were deleted and edited, you can restore it. This way, you won't have to recreate them again.

Here's how to do it:

  1. In QuickBooks Desktop (QBDT), go to the File menu and click Open or Restore Company.
  2. Select Restore a backup copy and then Next.
  3. Choose Local Backup and then Next.
  4. Browse your computer for your backup company file.
  5. Select a folder to save your restored company file and press Open.
  6. Click Save. If you see any messages about possibly overwriting your data, select the option that best fits your needs.

You can refer to this article for more information about the process: Restore a backup of your company file.

The second option is if you don't have a backup file, you'll need to recreate them again. You can use the Audit Trail report to get the details of the invoices in question. This report has all the records about the changes made to the company data file.

Here's how to pull up the Audit Trail report:

  1. In QBDT, go to the Reports menu at the top.
  2. Select Accountant & Taxes, then Audit Trail.
  3. Change the date appropriately.

Once you get the details, you can proceed with recreating the invoices. Please refer to this article for further guidance: Create an invoice in QuickBooks Desktop.

If you wish to memorized those invoices again, check out this article for the detailed steps on how to do it: Create, edit, or delete memorized transactions.

Please let me know if you have additional questions about this or anything else. I'm more than willing to answer them. Stay safe.
