Sales Receipts workflow or process

I am having an issue I guess with the process of recording a sales receipt.

Here is my work flow.

1) Record the sales receipt - include customer name, date of service and payment, payment method and the

deposit to account i use is direct to my checking account. I DO NOT USE UNDEPOSITED FUNDS Account unless I have multiple checks which i get.

2) When I get my bank feed I match the deposit to the sales receipt.

3) Look in my register and the transaction shows the sales receipt and it being deposited, but it never has a (C) showing cleared.

I don't not go through the step of actually doing the bank deposit form. It was my understanding that I didn't have to do that. I don't do a receive payment which I don't think your suppose to for sales receipt.

Anyway my frustration is everything I have read and all the tutorials I find they all refer to UNDEPOSITED FUNDS and I'm not using that.

Please help and thank yo

Sales Receipts workflow or process

Hello there, turleylisa.

I appreciate you for providing details about your concern. I'll be sharing how QuickBooks manages a sales receipt and the deposited one.

QuickBooks recognizes the receipts and automatically matches them to a transaction. With that, it'll automatically clear from the register once you accept the sales receipt and deposit as a match. If the transactions don't have the same information, the system won't find it. What we can do is manually locate and math them.

We'll have to verify the transaction first and make sure the QuickBooks Online transaction has not been previously matched to another transaction. When QuickBooks downloads bank data, it tries to find a match with any QuickBooks transactions already entered.

If you agree with the match information shown in the row, click the Match button. This will match with the existing QuickBooks transaction. Sample screenshot:

If the same thing happens, you can use an incognito window and clear the cache of your regular browser. This helps remove any browser-related issues and refresh your browser's settings. Aside from that, you can use other compatible browsers in QuickBooks Online.

You can use these references about categorizing transactions and the reconciliation workflow in QBO:

Know that you can always tap me on my shoulder if you ever need anything else with recording transactions in QuickBooks. I'll be around to help. Stay safe!
