sales receipts

QB desktop is not marking printed sales receipts as printed The status remains "print later" even when you show they printed correctly. Other than going in to each individual sales receipt and marking it "printed", is there another solution?

Greetings, @Bulldozer62.

I'd be delighted to guide you in marking all your sales receipts as printed.

Here's how:

  1. Go to the File menu.
  2. Choose Print Forms.
  3. Select Sales Receipts.
  4. Click the Select All button.
  5. Hit Ok.

You can read through this article for more detailed steps in batch printing sales receipts: Batch print forms in QuickBooks Desktop.

On the other hand, we can run the verify and rebuild utility tool. This way, we can isolate any data damage to your company file that may have caused the unexpected behavior of your printed sales forms.

  1. Go to the File menu.
  2. Select Utilities.
  3. Choose Verify Data.
  4. You may get any of these results:
    • "QuickBooks detected no problems with your data," no further action is needed.
    • A specific error message, there may already be an article for it. Try searching for it in our QuickBooks Desktop support site for specific instructions.
    • "Your data has lost integrity," indicates there is data damage in the file.  Continue to the steps below to Rebuild Data to correct the problem.
  5. Click the File menu.
  6. Pick Utilities.
  7. Choose Rebuild Data.
  8. Click OK if you receive a prompt to backup your company file.
    • Your computer may display the message QuickBooks is not responding to. However, as long as you can see your mouse cursor to move, Rebuild is still ongoing. Wait for it to complete.
  9. Click OK when you get the message Rebuild has completed and process the next troubleshooting steps.

Lastly, you can use these articles as a reference in resolving unexpected behaviors when navigating around QuickBooks:

I have done all those steps and it still does not work. Any other solutions or ideas would be appreciated.

sales receipts

Hey there, Bulldozer62. Thanks for following up with the Community about this. I can share some information about how receipts work in QuickBooks Desktop.

These records don't have a printed status, instead their entry is there for you to print if necessary. For example, after printing a receipt, it won't be marked with any statuses showing it was already extracted from your books with a printer. The Print later option you're seeing is simply a choice, not a confirmation of it's current state.

You can find more information about how receipts work with QBDT in our Help Articles database.

Feel more than welcome to send a response if there's any other questions. I'll be here to assist. Have a fantastic day!
