Search Option in QB Desktop

I know how to use the Find feature in QBs but is there a way to search for a partial number?  For example I need to find an bill (ABC123-R) but I only know part of the bill reference number (ABC123), can I do a search with an asterisk (ABC123*) or something so it finds any bill with ABC123 in the reference number field?

Search Option in QB Desktop

Hi, @H7.

It's my pleasure to share with you some information about finding transactions in QuickBooks Desktop (QBDT).

Finding your transactions using the initials of your reference number is not yet an option with QBDT. At this time, you need to input the complete number or details on the Ref.No. field.

As a workaround, you can open the Transaction List by Vendor report and add the Number column to locate your transactions easily.

Here's how:

  1. Click on Vendors & Payables from the Reports tab.
  2. Select Transaction List by Vendor.a27 3.PNG
  3. From the report's page, go to the Customize Report tab.
  4. Go to the Display section, then add the Num column. If necessary, you may filter the transaction type to bills.a27 4.PNG
  5. Hit OK.

Once completed, you can now see the reference details from the Num column.a27 8.PNG

For more tips about managing reports in QBDT, you can open this article: Understand reports.

Moreover, you can open this link to learn more about the Accounts Payable workflows you can use in QuickBooks Desktop.

If you have any other questions about finding your transactions in QuickBooks Desktop, please let me know by adding a comment below. I'm more than happy to help. Keep safe!

Thank you for the detailed reply.  So just to confirm there is not a way in QB to search any time of transaction number in the Find/Search module by searching with a partial number and an asterisk or any other character?

Yes, you're correct, H7.

At this time, the option to search a transaction using a partial number, asterisk, or any other character is unavailable. I can see how the feature you're looking for is beneficial to your business.

Our developers periodically update and release new features for QuickBooks Desktop (QBDT). They might change how this works in the future. To be updated with our latest news and updates, including product improvements, I encourage you to visit the What's New section on your QBDT account or open this link to view our product update blogs.

I am surprised this is not possible. I've used some extremely rudimentary, raw SQL based database driven software and this was always an available feature.

Hello there, Coacholson. I'm here to ensure that you can use the F3 keyboard shortcut.

Before anything else, pressing the F3 key on your keyboard activates the "Find" function. This feature allows you to search for specific content by entering keywords or text in a search box or dialog.

The keyboard shortcuts sometimes won't work due to keyboard driver corruption. It's essential to update your keyboard drivers. If the issue persists, you can use the CTRL+2 as an alternative.

Check out this article for more detailed information: Keyboard shortcuts in QuickBooks Desktop

Another option is to locate the search feature; here's how:

  1. In your QuickBooks Desktop company, hover to Edit
  2. Then select Search

Moreover, you can generate reports in QuickBooks Desktop. It can provide valuable insights into your business's financial health and performance.
