Searching for transactions

I am looking for duplicate transactions in a check register. I enter the amount into the Search bar and get a "no item match" results even though I can see a transaction with the exact amount, as entered, ($174.40) on my screen. Any suggestions or is this simply another basic failure of this software?

Sometimes, our browser fills too much cache, which could cause malfunctions to some features or slow down a website. As of now, I can guide you on troubleshooting your browser to ensure it runs with QuickBooks efficiently. Let's start with accessing QuickBooks Online using incognito mode or a private window.

 

Here are the shortcut keys to go private mode in a browser:

 

For Google Chrome / Microsoft Edge / Opera:
 

  • Windows: Ctrl + Shift + N
  • Mac: Command ⌘ + Shift + N

For Firefox:
 

  • Windows: Ctrl + Shift + P
  • Mac: Command ⌘ + Shift + P

For Safari:
 

  • Shift + Command ⌘ + N

 

If this works, you can proceed to clear your browser's cache and cookies to clear temporary files running in your browser that have caused the malfunctions. Otherwise, you can also use other supported browsers to ensure it runs QBO efficiently.

 

After that, you'll be able to look for the duplicate transactions by amount in the search bar. Here's what it would look like: image.png

The private window didn't do anything. I'll work on the cache clearing in a sec.

And searching after clearing cache didn't do anything. It can find transactions within the past year, but that's it. The function can't seem to search by transaction amount. This seems like a very basic function lang with not duplicating entries randomly, but QB fails at this as well.

You're right, @WIngwalker. QuickBooks Online currently doesn't support finding duplicates directly through an amount-based search. While this feature is unavailable, I have a workaround to help you resolve your concern.
 
To start, we'll have to do a manual review, but here are some steps to make it easier:

  • Transaction Report: A great way to check for duplicates is to run a Transaction Detail by Account report for your check register. Set a filter to focus on specific date ranges or transaction types, which can help narrow down entries for quicker manual review.
  • Advanced Search Options: You can explore the Advanced Search options to refine your search by criteria such as date, transaction type, or memo. This approach can be helpful if you're looking to identify patterns or similar details within transactions.

Moreover, you might want to match and categorize your bank transactions to put them in the correct accounts and avoid duplicates.

What I am finding is that QBO does not support a search by amount for more than one year and it does not look at reconciled transactions or journal entries.

I am trying to uncover a discrepancy between two bank accounts equal to about 50% of the total transactions entered in the ledger for the year. I was able to reduce the discrepancy by 50% simply by eliminating duplicate transfer entries between accounts, which are easy to spot in the register because of their physical proximity onscreen, but while that eliminated the discrepancy in one account it created a (smaller) discrepancy in the other. 

 

As a point of order, these duplicates were added by the bank connection AFTER both accounts were reconciled. 

I am subscribed to QB Live help and supposedly have an appointment with the "fixer" team. Because I have more time on weekends to work on this problem, when QB help is offline, my frustration with this problem is increased.

By way of background, I am a small business owner, not a bookkeeper or accountant. 

I am currently doing. manual review of the last 6 years from the paper statements. I was forced to eliminate the bank connection because of the problem mentioned above, 

 

Speaking as a business owner, the lack of a direct search option based on a property as fundamental as amount smells like a "feature" created solely for the purpose of increasing billable hours without a corresponding increase in productivity.

While QuickBooks Online currently has some limitations in this area, we want to assure you that your feedback does not go unnoticed.   1. Select Settings, then Feedback.
  2. Enter your comments or product suggestions. Then select Next to submit feedback.

 

While we work on bringing these features to you, here are a few additional suggestions that can help in managing your transactions more efficiently:

 

  1. When discontinuing bank connections, make sure any duplicates created previously are carefully cleaned up. Running frequent reconciliations can help catch any remaining discrepancies early.
  2. Utilizing the Transaction Detail by Account report, as previously mentioned by my colleague, and exporting the data to Excel can help. Excel’s advanced search and filter functions can be very useful for identifying and managing duplicates more efficiently.

 

For future preference, you have the option to create bank rules that automatically categorize transactions when they come into QBO: Set up bank rules to categorize online banking transactions in QuickBooks Online.
