Transferring Data from QB2009 to QB2021

Hello. We're a very small non-profit, and have been running QB2009. Time for a new computer, and a new version of QB. We can install QB2021 for Mac (not an online subscription).

 

Will we be able to successfully transfer our data from the very old 2009 to the new 2021? Thank you!

Transferring Data from QB2009 to QB2021

Yes, you can transfer your 2009 data to QuickBooks for Mac 2021 and I'd be glad to show you how, OffLeashArea.

 

As an initial step, let's secure a backup copy of your old data. You may follow these steps:

 

  1. From the File menu, select Back Up. 
  2. On the following dialog window, select the folder where you want to store your backup file (.dmg). NOTE: It's a good idea to save backups somewhere other than your main local drive in case of a system failure. If you have a file hosting service (such as DropBox), flash drive, or other removable media, you may want to select it here.
  3. When you have chosen, click Start Backup. The name of the backup will be your QuickBooks filename with the date and time the backup is completed. You have the option to view the file in Finder.

 

Then, we'll have to install QuickBooks Desktop for Mac 2021 on your new computer. I'll guide you how:

 

  1. Check the minimum system requirements for your Mac version to make sure QuickBooks can be installed.
  2. Have your product and license information available.
  3. Download your QuickBooks Desktop for Mac version or use the CD installer (if purchased from a retailer).

  4. Close all running applications.
  5. Double-click the downloaded installer or insert the disc into the Mac CD drive. The QuickBooks installation window opens automatically.
  6. Drag the QuickBooks icon to the Applications folder. The Applications folder opens automatically.
  7. Double-click the QuickBooks icon to open the application.

 

Once done, let's restore the backup copy of your file to your QB2021. Here's how:

 

  1. Double click the .dmg file. A new window opens the "Ghost" drive. Note: The "Ghost" drive displays the backup of your company file along with your attachments (if applicable).
  2. Drag the company file (with .qbXXXX extension) to the folder where you want to store the company file.
  3. Drag the Attached Documents Library folder (if applicable) to the same folder as the QuickBooks company file.
  4. Click the copy of the company file saved on the desired location or go to the File menu and select Open Company.
