What is happening when the system administration changes settings? What settings are being changed?

This shows up fairly regular at about the same time in the Audit Log.

I was thinking it could be an automatic log out on days when someone leaves without logging out?

I'll give an example of when the System Administrator - Changed settings event appears in the Audit log report, TS1956. This way, I can guide you accordingly. 

 

Automatic logout when a person leaves without logging out is not the case when the System Administrator's- Changed settings event appears. The event will display in the report if QuickBooks itself changes or adds certain default accounts to the system. See the sample screenshot below for more guidance:

Moreover, you can contact our Customer Care Team to know further about the Change settings status. Maybe they can review all the settings on what system admin changed in your account.

  1. Go to the Help menu, then click Contact Us
  2. Type your concern in the box and tap Let's talk
  3. Choose either Get a call or Start a chat
  4. Complete the required data and submit the request.

why would Systems Administration add 10's and 10's of accounts to my chart?  I had my chart set up, I didn't want all these detail accounts.

Allow me to hop in and share information about the System Administration adding accounts to your chart of accounts (COA) in QuickBooks Online (QBO).

 

Those specific default accounts added by System Administration were based on the business entity you've set up. Other special accounts are created when certain actions are taken or features are turned on in your QBO settings.

I'm just seeing the same thing as well as added journal entries for hundreds of thousands of dollars

Have you ever received a resolution on this issue? We are also now experiencing the same issue and cannot get anywhere with a reason as to why it is happening nor what specific changes have been made so we can reverse them.

Let's work together to determine why the System Administration Changed settings event appears in the Audit log report, LCCC.

 

The System Administration shows changes made automatically by QuickBooks Online (QBO). I've listed several reasons why this occurs:

 

  • You modify a record, and the change affects another record. For example, if you edit a payment and link it to a different invoice, the System Administration event for a change to the original invoice will show.
  • You connect a third-party app to QBO. When the app sends data to QuickBooks or when it makes a change to your existing data.
  • You have a recurring transaction. When the program recurs the transaction to your books, a System Administration event shows.
  • Some events happen automatically, even when you’re not signed in. For instance, there's an update to your bank feeds.
  • It also happens when we update QBO so that you can reap all the benefits of the new features when we release them.

If none of these apply to the changes shown in the Audit log report, I recommend contacting our QuickBooks Support Team. They have tools to review all the settings to verify what the system changed in your account and ensure this gets investigated. 

 

Here's how:

 

  1. Go to the Help (?) icon at the top.
  2. On the Assistant tab, click Talk to a human.
  3. Enter your concern in the Type something field, then click the Send icon.
  4. Click on I still need a human.
  5. Select Get help from a human.
  6. You can either select Chat with us or Have us call you.

 

Finally, you can run various reports in QBO to view the different aspects of your business and ensure all your entries are tracked correctly.

I did not give QBO permission to edit anything in my books.  In the last 3 weeks 905 edits have been made to MY BOOKS WITHOUT MY PERMISSION!  These edits have affected previous years trial balances and include, customers, employees, items, payments, deposits, invoices, charts of accounts...EVERYTHING!!  For me to correct these changes will cost me and will the system keep changing behind me.  HOW do I TURN OFF this annoying program once and for all?

Changes made by the System Administration in QuickBooks Online (QBO) are triggered by a few different reasons, Kimbpps.

 

These automated processes help ensure data consistency and proper record-keeping across your QBO account. They include:

 

  • Manual changes are made that directly affect another record. This happens after editing a payment that's applied to an invoice.
  • Third-party app integration. Syncing or downloading data from external applications can result in changes logged as System Administration actions.
  • Automated transactions. When recurring transaction templates generate or add new entries automatically, these are attributed to System Administration.
  • Banking synchronization. Updates from connected online banking services can prompt system-level changes.

 

These System Administration activities are important for maintaining the integrity and accuracy of your QBO data, even though they may not be directly initiated by you as the user. The audit log helps track these automated changes for transparency and record-keeping purposes.

 

For now, there's no option to prevent the system from making these changes. The system will also continue to log these changes if any of the previously mentioned events will happen.
