Window envelopes - Why do invoices and statements not fit???

WHY do QuickBooks Online printed invoices and statements not line up correctly with ANY window envelopes??? I have tried several #9 and #10 window envelopes and I cannot find anything that shows BOTH addresses without cutting some of if off. If the two addresses were just about 1/2 innch closer to each

I'm here to make sure you'll be able to customize invoices so that they fit the envelope window.

 

Let's make sure to set it up to fit the printed form in the window envelope. You'll find the instructions for doing so below:

 

To set up your forms for window envelopes:

 

  1. Click the Gear icon, then Custom Form Styles.
  2. Select the form you're using, then Edit.
  3. Go to the Design tab.
  4. Click Edit Print Settings.
  5. Select the Fit printed form with paystub in the window envelope option.
  6. Click Done.

This does not solve the problem. Not only does it push my address right up to the top edge of the paper so it gets cut off, but the addresses are still too far apart and not showing through the windows correctly.

Thanks for following up with us and letting us know that the steps my colleague provided above aren't working for you. 

 

To clarify, are you using Intuit envelopes, or are you using another brand? If you're using another brand, this could be the reason the addresses aren't lining up the way the need to. It'll depend on the size you've purchased, etc. to have it fit correctly. 

 

If you're certain you have the correct size envelopes, I recommend contacting our Technical Support Team. This way, an agent can review your account in a secure environment and investigate this matter further.

Since you still experience the same thing even after performing the steps recommended in this thread, I recommend reaching out to our Phone support team to further investigate the root cause of the issue. They use specific tools to pull up your account and check the setup. they can also provide some alternatives to help you correct the alignment of the sales form. 

 

Here's how:

 

  1. Select the Help icon and click the Search tab.
  2. Next, select Contact Us and choose a way to connect with us:
  3. From there, enter a brief description of your concern and click Continue.
  4. Then, choose either Get a Callback or Start a Chat.

Was this resolved? Checking the box "Fit printed form with paystub in window envelope" only puts my company address high enough but then makes the vendor address to high. Why can Paychecks and Pay Stubs fit into these envelopes but not Bills that I need to mail to Vendors? Shouldn't I be able to put both paycheck and vendor invoices in the same envelope? I adjusted the settings all over the place but it tells me that I cannot set the top margin below 0.5" and I need it at 0.4" for it to fit into the window.

I feel your pain. ive used Quickbooks desktop for years with no problems fitting invoices to envelopes. i switched to online and had nothing but problems with fitting invoices to envelopes.

i used the template "Intuit service invoice" in Quickbooks desktop. it fit the spaces in my envelopes perfectly. none of the "templates" in the new regime fit my envelopes. I have followed the instructions multiple times, but the spacing never fits the envelopes.

the available templates simply don't fit the spacing in the window envelopes I've used for years. the envelopes are a standard that have been the same for years. the new templates should be designed to fit the standard envelopes.

I'll assist you in fixing the printing issues of your sales statements to the Windows envelope in QuickBooks Online (QBO).

 

First off, are you using the Intuit Window Envelopes, or is it from another brand? If it's from another brand, the addresses may not align with the envelopes properly since it will depend on the size you bought to make it fit properly, among other factors.

 

Otherwise, if you're using Intuit window envelopes, you'll want to ensure your form templates are customized correctly to align them. Here's how:

 

  1. Go to the Gear icon, then select Custom Form Styles.
  2. Choose a form, then tap Edit.
  3. Pick the Design tab.
  4. Select Edit Print Settings
  5. Place a checkmark on the Fit to window envelope checkbox.
  6. Tap Done to proceed.

 

On the other hand, you'll want to follow how QBO formats your return address if you're having an issue with it. Refer to this article for details: Print forms for window envelopes in QuickBooks Online.

It's incredibly greedy of Intuit to force their customers to buy "special" envelopes in order use their invoicing and accounting program.  Shouldn't quickbooks simply adjust their invoice templates to fit in with office supply standards and sizing--standards that have been around for decades?  One programmer could fix the issue.  But no!  Instead quickbooks forces thousands if not millions of customers to adjust their business practices, causing headaches, huge aggravations, and time delays.  It is beyond distasteful and super tacky.

If addresses aren't lining up correctly, you can set up forms for window envelopes.

 

Here's how:
 

  1. Use the Gear icon, then go to Custom form styles.
  2. Choose a form and click its Edit option.
  3. Access the Design tab, then hit Edit Print Settings.
  4. Tick your Fit printed form with pay stub in window envelope checkbox.
  5. Select Done.

 

To ensure the return address is visible through your window, limit it to six lines. QuickBooks formats the return address like this:
 

  • Line 1: Your Company Name
  • Line 2: Address line
  • Line 3: Address line
  • Line 4: Address line
  • Line 5: Address line
  • Line 6: Address line

 

You can shorten or change your return address if necessary:
 

  1. When a customer pays their invoice, you can record the payment by opening it, clicking Receive Payment, then entering their payment information.
  2. Hit Company.
  3. In your Address section, use the Pencil icon.
  4. Make your necessary changes and select Done.

 

If you're not using Intuit's Forms Envelopes, and are instead using a third party's envelopes, this could be why addresses aren't lining up the way you need them to. You can order Forms Envelopes from Intuit if necessary.

 

In regard to editing PDF files, I can certainly understand how such an ability could be useful and have submitted a suggestion about it as of today. You can also submit your own feature requests while signed in.

 

In the event you have Adobe Acrobat, you may be able to edit PDFs with it. There's also other third party PDF editors which may come in handy for editing your documents.

Thanks for the quick response.

 

I went to the Print forms of windows envelopes site, as suggested, but can't seem to find where and how to change the return address.

 

It shows 6 lines of return address available, but I am at a loss where to find that. The reference to see the Receive Payment area is confusing.

 

In simple terms, I'm trying to be able to use the windows envelopes with the Desktop version now I'm using Online, which by the way, is excellent.

Let me add details about changing the return and customer addresses suggested in the article about Print forms of window envelopes.

 

QuickBooks Online (QBO) allows six lines for printing your company name and address and another six for customer name and address. The company address depends on the information you've provided in the Accounts and settings. Meanwhile, the customer's address depends on the info you've set up on the customer's information page.

 

First, I suggest going through the steps recommended by my colleagues above about customizing the company and customer information through Custom Form Styles to fit them in the window envelope. During your editing process, please take note of the following templates and margin specifications: 

Next, if applicable and necessary, I also recommend condensing company and customer address information when details still don't fit the window envelope. Let me add that the information in address line 5 is only included if either Customer Name or Customer Company Name is omitted. Any text on address line 6 isn't included in the customer address.

 

When this is resolved, let me add Step 3 of this article about configuring your print settings as a future reference: Configure print settings.

This is all very interesting, but not helpful.  My issue seems straightforward, but apparently isn't.

All I'm trying to do is increase the top margin on my invoices when they get created as a PDF. At present, there is no top margin, making any window envelope unusable. This is a PDF related item, not how many lines I use for my company or customer address.

Thanks for coming back and specifying your goal, PQH. I'll gladly show you how to accomplish this.

 

We'll have to edit your PDF settings to increase the top margin on your invoices. Here's how:

 

  1. Go to the Gear icon, then select Custom form styles.
  2. Choose your form style and click the Edit option.
  3. In the Design tab, go to the Edit print settings.
  4. Update your Top page margin.
  5. Click Done.

 

Once you're done, you can create and print an invoice to test.

 

Furthermore, you can pull up the Transaction Detail by Account report to show a list of invoices due on a specific date range. Please see this article for the complete guide: Customize report to see invoices due in QuickBooks Online.

This works fine when creating invoices that don't use window envelopes. The "Fit to window envelope" feature offsets the "bill to" area. The page margin adjustments don't work with "Fit to window envelope" feature.

Thanks Candice C, but I'll let it drop.

I've gone that avenue before on a different matter but was told I'd my subscription doesn't have a free service feature and the $ quoted was absurd.

 

I'd also end up with the same responses I've already received in this thread.

 

Would be nice if this type of issue could be handed to another corner of QB for resolution, given others have had the same issue.

This is so annoying.  The "fit to window" print option does fix the customer address to fit correctly in the window envelope, but the company address is cut off because there is no margin at the top.  You can't fix the margin at the top AND choose "fit to window" option.
