Writing off Pending Invoice with Applied Payment

Got an order a DIY order from a customer. The customer made a down payment. Entered a Pending Invoice and applied the Payment. We received the product, but the customer had lost the job. Now the order needs to be written off, but the payment will not be returned to the customer - how do I do this?

This is a pending invoice - with a payment applied - I don't think a typical write off applies

So how do I do this

Writing off Pending Invoice with Applied Payment

Hello there, @Catz. I'd like to provide additional insights about writing off a pending invoice in QuickBooks Desktop.

 

When writing off a paid invoice, you'll have to first delete the payment to proceed. After that, create an expense account to keep track of the transaction. I'll show you how:

 

  1. Open the Lists menu and go to Chart of Accounts.
  2. Pick the Account menu and then hit New.
  3. Choose Expense, then click on Continue.
  4. Fill an Account Name, for example, Bad Debt.
  5. Click on Save and Close.

 

Lastly, close out the unpaid invoices by following the steps below.

 

  1. Open the Customers menu and choose Receive Payments.
  2. Fill in the name of the customer in the Received from field.
  3. Go to the Payment amount, type in $0.00.
  4. Click on Discounts and credits.
  5. Go to the Amount of Discount field, fill in the amount you'd like to write off.
  6. For Discount Account, pic the account you added in step 1, and hit Done.
  7. Click on Save and Close.
