Sales Orders with Multiple Delivery Dates

We just migrated from QB online to QB Desktop Premier.  I need to input our backlog and am unsure of the best way to approach it. Our customers send us PO's with multiple delivery dates.  Can this be set up using Sales Orders?

You've come to the right place, @LindaGiuliani.

 

Yes, you can! You're able to add multiple delivery dates for a sales order either as a header or column in QuickBooks Desktop.

 

If you want to add a date on the sales order's header, you'll have first to add a customer custom field by going to the Customers menu. I'll guide you how:

 

  1. Go to the Customers menu then select Customer Center.
  2. Double click a certain customer name under the Customers and Jobs tab.
  3. Click the Additional Info tab then choose Define Fields.
  4. Enter the word Date and make sure the Cust column is checked.
  5. Hit OK to confirm the action.

Once done, you can now create a sales order then make necessary customization in the Formatting Tab. Here's how:

 

  1. Go to the Customers menu then click on the Create Sales Order option.
  2. Choose the Formatting tab then click Customize Data Layout.
  3. Select Header and make sure to check the Date Field.
  4. Hit OK to confirm the action.

However, if you wish to add a delivery date on the sales order's column field, here are the steps that you can follow.

 

  1. Go to the Customers menu then click on the Create Sales Order option.
  2. Select the Formatting tab then click Customize Data Layout.
  3. Choose Columns then enter the word Date in the Other fields.
  4. Hit OK to confirm the action.

If everything looks fine, you can now Save and Close to save that specific sales order or Save and New to save and create another sales order.

Moreover, you'll also want to learn more how to customize your sales order in QuickBooks Desktop. This way, you'll be able to pull up the details you want.

Once additional columns are set up, can you run Sales Order reports and filter by column data?

Yes, you can filter your sales order report based on the column you set up. To do so, please refer to these steps:

 

  1. Go to the Reports tab.
  2. Hover over Sales and choose Open Sales Orders by Customer report.
  3. Click the Customize Report button.
  4. From the Display field, find the columns you've set up and want to see in the report.
  5. Next, select the Filters tab and search for Detail Level.
  6. Click All and then, select OK.

 

To save your customization for future use, simply click the Memorize button in the reports window.
