Standard User access to Reports

Hello,  I have been using QB Online for quite some time  There are 5 users on the account  The owner is the Master Admin and both the Director of Operation and myself are the Admin.  I am the person who sets up new users.  I just found out today that a Standard User eventhough they are blocked from bank account information and balances have access to all the check details in the reports and have access to stuff for my accountant.  I talked to QB this morning and they basically said there is nothing they can do about it.  My concern now is how much information my 2 standard employees have seen.  The reports shows ALL my payroll checks with amount paid (so that is easy for anyone to figure out how much a yearly sarlary is)  I am voiciing my concern here as I am not sure that anyone in the same boat is aware of this.  

 

If you upgraded to the Advanced option it is still the same !  This is total BS on QB part.  I am really really concerned now as to wh

We don't want you to feel that way, concerneduser.

 

What user permissions do you want to have this standard users? When you set up standard users, you have an option to limit their access.

 

You'll want to check this article to understand the different levels of access: User types and user permissions in QuickBooks Online. Scroll down to Standard User and click on the access available. There will be a list of what they can and can't access when assigned to that user type.

 

If you wish to change their access, here's how:

  1. Click the Gear icon, then Manage Users.
  2. Find the user you want to edit, and select Edit in the Action column.
  3. In the window that appears, choose the User type drop-down menu. Select the user type you want them to be. More options will appear on the screen depending on the user type you select.
  4. When you’re finished, select Save. Ask the user to sign out and then sign in to see the change.

Hi, thanks for responding.

 

My concern is that once they can SEE and READ the check detail report they have access to all checks written including payroll which should be private.

Thanks for adding a clarification, @concerneduser.

 

You can change the user access of your 2 two standard employees as Reports only access. This way, they can only view reports in your QuickBooks Online (QBO) account except for your payroll and contact info which is private. 

 

To change their user access, you can follow the steps shared by my colleague MaryLurleenM above.
