I have deactivated a vehicle for over a year now from being tracked through QB. And I have listed the correct vehicle as the primary vehicle in mileage. I also went back through ALL of the rules I had set for certain trips (from location A to location B) and was sure they were all assigned to the new primary vehicle
However, despite this, I am continuing to have trips recorded under the deactivated vehicle. And it isn't just 1 trip, it is multiple and they all appear to be trips that are auto-categorized as business trips based upon the rules I set up.
I have close to 50 rules set up based on previous favorites, etc. And so i would prefer not to delete all of the rules and re-save.
Continuously, I have to go in manually and change all of these previous saved trips - and I have to do this on my desktop for QB online EVERY TIME.
It is very frustrating and can not seem to find a solution. It would be nice if QB would allow me to delete the vehicle instead of deactivating it - I feel as though this would be the adequate solution.
Any help would be appreciated.
Good day, wahanner.
Deleting a vehicle in QuickBooks is currently unavailable. However, we can deactivate it, as long as it's not the primary vehicle.
Here's how:
After you deactivate it, it will appear in the Vehicles no longer in use menu. You can also reactivate it by clicking on the Activate button in the vehicle section.
You can read this article to help you record your business miles in QuickBooks: Automatically track mileage in QuickBooks Online.
If you have any additional questions about tracking mileage, kindly reply to this thread. I'm always around to help. Have a wonderful day!
as stated in my question, ALL of this has already been done... and then double checked and triple checked.
But it does not work, trips are STILL being recorded under the deactivated vehicle (it has been deactivated for over a year now.)
That is why I am suggesting for QB to create a change in their software that allows for a full deletion of this vehicle... rather than a deactivation that has proven to not work.

Yes, my question is: How do I prevent a deactivated vehicle from getting auto-tracked and auto categorized by a rule on a completed trip?
And instead assure that the trip is categorized by a rule utilizing my listed primary vehicle instead?
HI there, @wahanner.
Thanks for following up with us. I appreciate you for letting us know you have spent time going back through all of the rules and making sure they're all assigned to the new primary vehicle. I'm determined to ensure your trips are tracked under the new one.
I know this isn't ideal, however, I suggest deleting and recreating them. Then, keep the Apply to Past Trips option turned off.
Here's how to delete:
Then, follow these steps to recreate them;
I've included a couple of detailed resources about using our mobile application that may come in handy moving forward:

I would think this issue would be brought up more often for people that have created rules and then activated a new vehicle and made that their primary vehicle, I am sure I am not the only one that this happened to.
I have over 50 rules in place... with close to 15 locations utilized. Even though it is tedious, it is more time-efficient to go back in and edit all of my incorrect trips, then it is to delete all of my rules and re-create them. Especially not knowing if that would even fix the issue...
