When removing pending status to close a build assembly, how can I have QuickBooks automatically have the build date default to today's date?

 

Hi -

 

When removing pending status to close a build assembly, how can I have QuickBooks automatically have the build date default to today's date?  This would be an extremely helpful feature because it would help us avoid accidentally closing a build on a past date.  If a build is closed on a past date, that will cause parts to be removed from stock that were needed to close the build.  As a result, that could unintentionally cause other closed  builds to revert back to pending status and perhaps re-open some shipped Sales Orders.

 

For example: 

 

Let's say today (12/3/24) you accidentally closed Build Assembly M on 09/01/24 and Build Assembly M required you to use 4 screws. Let's say you only had a total of 4 screws in stock in Sept. You had closed a similar build, Build Assembly H, on 09/15/24 that also needed those 4 screws.  So, since you accidentally closed Build Assembly M on 09/01/24 before Build Assembly H was closed on 09/15/24, it caused Build Assembly H to revert back to pending status. Build Assembly H reverted back to pending status because technically you no longer had those 4 screws in stock that are needed to close Build H. Those 4 screws were used up closing Build M on 09/01/24. This situation might also cause a Sales Order to re-open if you had shipped to a customer closed Build H in Sept., but now QuickBooks reverted Build H back to pending status.

QuickBooks will use the date you last closed a build assembly, Dav.

Our QuickBooks does not default to close builds with last build date. 

 

When closing a pending build, the date shows the day the pending build was created.  For example, let's say we created a pending build on 09/01/24.  On 12/3/24, when the build is now completed and we want to close it, the date will still show 09/01/24.  When we remove the pending build status to close the build, we want the date to default to the current date of 12/3/24.  We don't want the build to close on a past date because the can cause problems within QuickBooks.  Those problems could be that other past closed builds unintentionally revert back to pending status and some closed and shipped Sales Orders could revert back to open status.

 

How do I set in QuickBooks to have the current date appear when I remove pending status to close a build assembly?

As my colleague mentioned, QuickBooks uses the most recent date you closed a build assembly. Therefore, the feature that automatically sets the date to the current day is functioning as intended.

 

Meanwhile, I suggest providing your feedback to our Product Development team regarding this functionality, as they may consider your suggestions for future improvements.

It does not seem that you saw in my prior replies that I've indicated  -

our QuickBooks DOES NOT use most recent date you closed a build assembly when changing a pending build to closed build status. 

 

You've stated  "As my colleague mentioned, QuickBooks uses the most recent date you closed a build assembly."  This is NOT automatically happening with our QuickBooks when closing pending builds. 

 

Did you try to close a pending build on today's date, for a pending build that was set up a few weeks ago?  If so, I doubt the pending build is  automatically changing the date to today's date when you remove pending status.   If that is occurring for you, then how do I get that to occur in my QuickBooks?  Do I need to adjust a setting?

QuickBooks does not automatically adjust to today's date when changing the status of an assembly from pending to closed, Dav. I know how important precise timing is for your production workflow. Allow me to clarify how the software manages dates in the context of building assemblies.

 

QuickBooks will retain the original date of the pending assembly, regardless of when it was closed and completed. This is designed to preserve the historical accuracy of when the assembly was initially created or scheduled.

 

As a workaround, you can manually change the date in the Date field just before clicking Build and close. This gives you control over the recorded date when completing the assembly.
