I’ll make sure you will be able to set price rules successfully in QuickBooks Online (QBO), @marksoar.

 

To ensure that QBO recognizes your price rules, make sure your price rule configurations are accurate. Double-checking your configurations can help you avoid any potential errors.

 

If you have checked and verified that all settings are correct, yet the price rules are still not applying, let's proceed with troubleshooting steps to address this unusual behavior of the program. Open a private browsing window. You can use the following keyboard shortcuts for popular browsers: 

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

Once you have opened the browser window, log in to your QuickBooks account and check if price rules are now working. If it is, proceed to clear your browser's cache

 

This process will help eliminate any errors or glitches that may be occurring in the system. Alternatively, you can use other devices and supported browsers to ensure everything works as expected.

I did as you suggested and checked the price rules. All is correct and additionally I am the only one with access and I am quite certain I made no changes. It just stopped working after the 'wonderful developers' made their most recent update.

 

I also did as you suggested and used a private window in Google Chrome to test the usage after checking the configuration above. Nothing behaved differently. It continues to ignore the Price Rules that have been working for 2 years flawlessly.

 

I am open to suggestions on how to get this very important feature to work as it used to.

Thank you for replying. I checked the price rules and they are configured correctly. In addition, I am the only one with access and I made no changes. It just stopped working after the most recent update from qbo developers.

 

I did as you requested and used a Google Chrome private browser window to test if the rules were working and they are not. They have worked flawlessly for 2 years and no changes were made on our end. The 'wonderful developers' have done something to break this very important feature.

 

I am open to suggestions on further solutions to fix this.

It appears that you're within the new invoice experience following the new estimates and invoices rollout to QuickBooks Online (QBO) users. I can further assist you with resolving the issue about the price rules not updating on your invoices.

 

If you're in the new invoice layout, you can consider checking out this article first: See what’s new with estimates and invoices in QuickBooks Online

 

Since the Price Rules feature  isn't currently available in the new invoice experience, I'd recommend switching to the old layout. You can follow the steps I'll outline below. Please know that the steps will depend on your current subscription.

 

  1. Go to the +New button. 
  2. Select Invoice.
  3. If available on your end, click on Old layout in the top right corner of the invoice window. 
  4. Confirm Switch to old layout when prompted with Looking to switch layouts?

 

If you're within the old invoice layout after the steps above, select a customer and add a Product/Service to check if price rules automatically update. 

 

If the price rules don't update after selecting a customer and product/service, I'd recommend manually selecting it from the Amount column in the old invoice layout. 

 

However, I recognize that changes to the invoice experience can affect your business workflow and that the software should accommodate various business needs. I'd encourage sending your suggestions to our product engineers, highlighting your experience with the new invoice update. Here's how you can send one:

 

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Enter your comments or product suggestions.

Well, it is worse than we thought. Our installation of qbo has not been updated to the new invoice and we are still using the old layout. See attached screenshot. Using an Invoice the Pricing Rules apply correctly how ever we do not use Invoices. We use Sales Receipts while the client is standing in front of us and we obviate the need for Invoices by taking the payment on a Sales Receipt immediately. While the price rules work on Invoice they still show up wrong on Sales Receipts.

 

Any suggestions for Sales Receipts?

I'll hear you out, @marksoar. I appreciate the additional input you've added to your concern.

 

Price rules in the QuickBooks Online (QBO) US version can only apply to invoices and estimates, and they can't apply to sales receipts. Let me further help and lay out a couple of alternative options.

 

Since you receive payment from customers at the time of the sale, I couldn't agree more that it's best to use a sales receipt rather than an invoice. Although price rules isn't available for creating sales receipts, you can consider overriding the amounts manually at the time of a sale, as a workaround. Here's how:

 

  1. In your Sales receipt window, choose the customer. 
  2. Select the product from the Product/Service column. 
  3. In the Rate field, you can:
    1. Enter a custom price amount.
    2. Manually calculate the original rate's percentage adjustment increase or decrease. Then, enter the amount in the field.
    3. Add a plus (+) sign next to the original rate. Then, add the fixed amount increase or decrease (e.g., If the product or service is $45, and the fixed amount increase is $2, enter 45+2). Then, press the Tab key on your keyboard.
  4. Review other details. Then, Save and close.

I find it odd that Price Rules have somehow changed. We have used them on Sales Receipts flawlessly for the past 5 years. We assigned a subset of clients to a group and applied the Price Rules to that subset of customers for their products and it has worked wonderful. So if Price Rules have been broken then how do I assign specific prices for my products to a subset of my clients without having to duplicate all my products with different prices? Price Rules did exactly that very, very well for a very long time.

I appreciate the significance of implementing price rules in your sales receipts and recognize how this feature can greatly enhance your billing processes, @marksoar.

 

As an alternative, I'd recommend setting up recurring sales receipts which can be tailored with adjusted prices for different sub-clients. I'm here to guide you through this process.

 

  1. Go to the Gear icon and click on Recurring transaction. Then, Select New.
  2. Select Sales Receipt as the Transaction type from the drop-down list.
  3. Hit OK.
  4. Enter a Template name to help you identify it's for a sub-client.
  5. From the Type dropdown, choose Unscheduled.
  6. Choose a sub-client from the Customer (or Client) dropdown. 
  7. Select the Product/Service and enter an adjusted Rate for the sub-client.
  8. Review other details. Then, click on Save template.

 

You can repeat the steps to create one for your other sub-clients. To use the Sales Receipt template, go to the Recurring Transactions page again and click Use from the Action column.

 

Additionally, because the price rules do not appear in your sales receipt, I suggest submitting feedback to our engineering team. This will prompt them to review this functionality and potentially implement this feature. Here's how:

 

  1. Go to the Gear icon. 
  2. Choose Feedback.
  3. Enter your product suggestions.
  4. Click Submit

As shared in previous responses, price rules are currently applicable to invoices and estimates within QBO. This means that it can't be used when creating sales receipts at this time.

 

For now, you can manually change the rate or amount of the items when creating sales receipts. 

 

You can also consider using third-party apps that offer additional features for sales receipts. Just go to the Apps menu and proceed to the Find apps tab.

You would, except for what? You don't mention.

 

And, by the way, you appear to be part of the support team you seem to be trying to suggest we contact. So that makes no sense at all!

 

Why is it that three employees have replied to this thread and you all say something different, and somehow manage to make it worse?  You collectively made various clams that appear false, and now you just punt?

 

Here's a suggestion: Find out what is wrong / what has happened. Then reply and let us all know what that is and when it will be fixed.

No. Sorry. I have not found a solution. And the story gets worse. Some in this thread have said that Price Rules work in Invoices and Estimates and that is true - in the old layout. I tried switching to the new layout and guess what? Nope. No more Price Rules. They do not work. I think that was stated somewhere else but I validated it to be true. So the software engineers are once again dictating what they think is best without listening to the folks that need to do the work. You and me...

I switched to new layout today while invoicing since received an email saying the old layout would not be available on Monday, May 6th. 

 

I am having the same issue.  Price rules not in Sales Receipts at all, and the new layout when invoicing.  I switched back to the old layout before completing one invoice in the new layout.

I appreciate you joining the thread, Emily. I'll address your concern about the price rule feature in the new invoice layout.

 

Yes, I agree that beginning May 6th, all Plus and Advanced users will be migrated to the new experience, and there will no longer be a way to return to Classic invoicing for any customers.

 

In addition, you can create and manage price rules in the new invoice layout but the option to apply it to the transactions is currently unavailable.

 

In the meantime, you can continue managing the price rules in the old invoice layout. Otherwise, you'll want to manually adjust the price of the items and add a Note to the Customer regarding the adjustments.

I am in the same situation.  I need the price rules to discount each line item.  Just using the discount on the total invoice does not work.  I was told QB will not change this. 

Features currently unavailable in the new experience

The following classic invoice features are currently unavailable in the new experience:

  • Reference links displaying matched online transactions
  • Price Rules (You can create and manage Price Rules, but the new invoice experience currently doesn't support price rules applied on invoices.)
  • Add previous attachments
  • "Add all" for suggested transactions
  • Billable Mileage Tracking
  • Copy PO to invoice

Many businesses are complaining of this and QB needs to listen to their customers. We are paying thousands of dollars for software that doesn't work as it should.

And... we now have no choice but to use the "New Layout". Switching back to the Old Layout is no longer an option.  I am very disappointed and hope they make the switch back to the old layout.

That's nearly the stupidest thing I've ever seen written here.

 

There is literally no point in setting up price rules if you can't use the rules on transactions. Do you understand anything about the feature? About QuickBooks? I mean...?

How is this addressing their concern regarding price rules?  You're basically saying, yeah, they don't work.  But no worries.  You can still set rules - you just can't apply them.  Really?  Why was this functionality taken out of sales receipts and invoices?  WTF.

I'm replying in multiply threads because I was told the more we complain about this nonsense of getting rid of the price rules the greater the chance of these engineers to FIX IT. I will continue to post on every and all threads I can find to do this.  I don't believe you or the engineers understand the price rules IMPORTANCE OR IMPACT THIS HAS ON THE OPERATION OF OUR BUSINESS, apparently not only to our business but thousands more.  Just read the posts.  What is it going to take??

This is Intuit:

1. At great expense, add price rules to QuickBooks Online, because it's a very important feature that customers need that QuickBooks Desktop has had for decades. Release new feature with great fanfare. Pat self on back.

2. Replace existing invoice feature, already bereft of features Intuit once deemed basic and so included in QuickBooks Desktop decades ago, with new invoices that have even fewer features and where price rules, that very important feature, does not work at all. Pat self on back.

3. Tell reps to cheerfully announce that you can still spend a bunch of time setting up price rules, but there's just this one minor point: You can't use them anymore. Pat self on back.
