Buy nowI currently have Quickbooks Online Essentials currently and am hiring an accounting assistant. I'm trying to figure out a way where she can create checks but not approve them. I want her to be able to print checks only that haven been approved. This will prevent theft if I am the approver. I'm also planning to use blank check paper without account numbers so we have no blank checks lying around. I've been researching Quickbooks Online Advanced and called and spoken to sales numerous times but no one has the knowledge to confirm if this is possible or not. I've requested a manager to call me several times and they won't do it. They finally sent me a demo account of Quickbooks Online Advanced and the create user and role functionality doesn't work in the demo account! Does anyone have any knowledge on this? Thank you.

Please know that the option to show and print approved checks in QuickBooks Online isn't available. We can filter to show the regular and bill payments checks, but not approved checks. That said, I recommend looking for a third-party application that can help you with printing approved checks. You can refer to our QuickBooks Apps page.
Also, a third-party solution allows you to use blank paper checks. You can use the MultiCHAX software to print MICR-encoded checks in a variety of formats on blank paper forms. You can refer to this article for information: Print checks on blank check stock.

I think it's possible we could make it work if they could only print approved bill checks and they were not the approver. I just want to make sure they cannot go and create a check somehow on their own and print it. Is it possible to give them only permission to print approved bill checks?
If I were to go with a third part software such as Check Run, none of your default roles in Essentials allow for making deposits and making expense entries, reconciling, searching customers, managing invoices, etc. without giving full access to create and print checks? Your default roles seem to give practically full access or virtually none! I don't need any of the features in Advanced so I'm paying substantially more money for each copy of QB (we have 3) just to control the check permissions. And I'd have to pay for a third party company to control permissions for printing approved checks!

The option to set permission to only print approved bill checks for users is unavailable in QuickBooks Online (QBO). For now, I'd suggest looking for other alternative third-party apps that can assist you in establishing this user access.

Why is there no pre-defined role that allows for blocking check printing access? That's a huge liability to any business when delegating access! Are you saying I have to upgrade to Advanced which is 4x the cost per copy just to be able to define this permission manually!?

In QuickBooks Online Advanced, users can view, create, and partially edit bills. To let them print checks, you'll need to give them full access to view, create, edit, and delete checks. At this time, you can't customize the access for checks.
You can utilize the QuickBooks Online Advanced test drive to check the features available. Refer to this article on how to create one: Add and manage custom roles in QuickBooks Online Advanced.
From here, you can use the audit log in QuickBooks Online to check the activity of the users in your account. Only the primary and company admin can access this feature.

Test drive does not allow you to see and experiment with adding users and roles. Those features are disabled in the test drive. Additionally, I've been trying to get a hold of your sales team for 3 days now to upgrade using this special advertised on your website for 2 copies of Advanced for $40 each for 12 months and no on is returning my messages I've left or calling me or responding me from the email forms I've filled out on your website about the offer? It says I have to contact you guys for the offer and no one is responding!? Please advise.
