Entering data into the Memo column on the Sales-Customer screen

Hi there, jamdoy.

I can share some tips on how you can enter that information.

Please take note that the Memo column in the Customers Transaction List page for viewing purposes only. You'll have to manually open each transaction and add the field ticket number from there. I'll show you how:

  1. Select Sales from the sidebar menu.
  2. Head to the Customers tab.
  3. Choose the appropriate customer, then select the Transaction List tab.
  4. Click the transaction to open it, then enter the field ticket number and other necessary information in the Memo or Message on statement text box.
  5. Hit Save or Save and close, then select Yes to confirm the changes.
  6. Repeat the same process for the other transactions.

I'm also adding this article to help track your sales receipts and open/paid invoices in QuickBooks: View sales transactions.

Entering data into the Memo column on the Sales-Customer screen

Hi KlentB,

Thanks for the response.

I can't see the Memo text box that you are referring to, only a Message on Invoice text box and a Message on Statement text box?

Thanks

Entering data into the Memo column on the Sales-Customer screen

Thank you for getting back to this thread and adding a screenshot, @jamdoy.

Let me add more clarifications to your concern in QuickBooks.

The memo text box will only show once you open transactions such as expenses, checks, and bills in QuickBooks. This specific field is unavailable for sales transactions such as invoices, estimates, or sales receipts. This is the reason why you're unable to find it on the Sales-Customer screen.

However, you can enter the data on the Message displayed on statement field. This has a similar function to the Memo field. The info you enter on these fields will both show on your reports. You can also check out the screenshot below as your reference.

Simply follow the steps given by my colleague KlentB to add this info to your transaction.

Additionally, there are several financial reports you can run to track your sales income in QuickBooks. They will show you helpful insights on the things you buy and sell, and the status of your inventory.

Should you have any follow-up questions or concerns, don't hesitate to post again here in the Community or leave a comment on this thread. Take care and have a good one.

Entering data into the Memo column on the Sales-Customer screen

Hi there,

Is it possible so that the customer does not see the memo or the 'message on statement' ? On my account it says that the customer will see what I wrote, but i would like the memo to be private to me only.
