linking a Quickbooks Go credit card payment to an existing invoice

I previously created an invoice for a service. When the customer came, they paid with a credit card on the Quickbooks card reader. How do I link that payment to the previous invoice so it shows as paid?

Hello there. My name is Julian and I work with our GoPayment care team. I wanted to share some exciting news with you. We heard your feedback and released a feature you have been asking for. With the latest version of GoPayment (11.0 or later), users on the green version of GoPayment can now take/receive payments on invoices! 

 

With Invoice payment, GoPayment users can now benefit from the following:

  • Invoice Payments: Take/receive payments on existing invoices that were created in QuickBooks Online.

  • Automatic sync: Payments automatically sync to QuickBooks Online.

  • Invoice Status: The status of invoices will update (Open > Paid). 

  • Multiple invoices: More than one invoice can be paid with a single invoice payment. 

 

How to use Invoice payment

  • From GoPayment home screen select (+)

  • Select Invoice payment 

  • List of all open invoices will display

  • Select customer 

  • Select invoices to receive payments towards

  • Select Complete sale

  • Payment will automatically sync to QuickBooks Online and apply to invoices selected. 


Note: Partial payments are currently not supported.

I'd love to help you link your Go Payments and mark your invoices as paid.

 

Your invoice can automatically be marked as paid when your Go Payment account is linked to QuickBooks. Let me guide you how.

  1. Click on the Gear icon, choose Account and Settings.
  2. Select Payments.
  3. In the Existing account section, select Connect.
  4. Quickbooks will search for any Merchant accounts associated with your user id.
  5. Confirm that the correct Merchant account is listed.
  6. Select Link account.

I've followed the steps but get stuck after step 2. Existing Accounts doesn't show up for me so I'm not able to try to Connect anything.

The invoice and the payment are both showing up in my Quickbooks Online account, they are just not linked to one another. I called Quickbooks and the rep told me to delete or void the invoice and just leave the payment. I chose to void it so I still have a record of it somehow. I hope that doesn't mess up my books.

 

Additionally, when taking a payment via card reader on the GoPayment app it doesn't give me the option to pull up the invoice from my Quickbooks online account in order for the payment to be applied to that invoice. Any way to fix this?

I appreciate you performing the steps provided by my colleague, Alessandra_B, above. 

 

Since the existing accounts don't show up and you're unable to connect your GoPayment account to QBO, this maybe the reason why you can't pull up the invoice from QBO. 

 

To ensure the mobile application is properly linked into your account, I recommend contacting Merchant Services Care Team. They are equipped with tools to determine why the existing account are not showing. They can also check your account if voiding the invoice won't mess up your books. 

 

Here's how to reach out to them: 

 

  1. Go to https://community.intuit.com/browse/payments-contact-us. 
  2. Get the phone number for your Payments product. 

You can also use this article to give you a better idea on how to record GoPayment transactions. Then, you can apply the payment to the invoice in QBO.

You don't need to void the invoice but you need to delete the sales receipt created in the GoPayments App at the time you ran the transaction; often this requires to first delete the associated deposit to your bank account.

Doing so will create an unapplied payment (or credit on your customers account) for the amount of the sales receipt. You can then apply the payment to your existing invoice so they are linked and there are no duplicate transactions in your register.

I'm using version 11.4 and none of the features you mentioned are there.

GoPayment users with 11.0 and later versions are entitled to have all the features mentioned by JulianC. You can browse this thread to learn more about the recent updates with GoPayment: GoPayment Migration Update & FAQ.

 

Since you're using the 11.4 version without having the new features, I recommend contacting our Merchant Service Team. They can check your account and verify the your account settings and better investigate why you're
