How can I show completed / closed tasks (already billed 100%) on current progress invoice?

I've been using progress invoicing on QBO for my projects, but now that some of the tasks / services have been billed to 100%, they show as "closed" in the estimate and won't show up on the current invoice.  I'd like to be able to show all tasks / services for the entire project, even those that have been completed.  

 

This was possible in the desktop version, but I can't figure it out with QBO.

This means that accessing your data with QBO is easier and more convenient, requiring only a device with an internet connection. It's important to note that QBDT and QBO have different sets of features, and certain features available in QBDT may not be present in QBO.

 

With that being said, I'd like to include that the ability to show completed or closed tasks that have already been billed 100% on the current progress invoice is unavailable in QuickBooks Online. I think it's a good idea, and like you, I also would love to see this feature being added to QBO too. No worries, I'll pass this along to our engineers in QuickBooks Online.

 

Also, you can send your own feedback so they'll know that this is something you need and they can consider adding it in future updates. Here's how:

 

  1. Click the Gear icon in the upper-right corner.
  2. Select Feedback under Profile.
  3. Share your feedback.
  4. Click Next to submit.

I'm here to help you view your completed tasks on the current progress invoice, amccollister.

 

Let's turn on the  Estimate summary checkbox to display the estimates. However, this doesn't show the percentage of the task. I'll show you how:

 

  1. Go to the Gear icon and then select Custom form styles.
  2. Locate the template you're using for the progress invoices.
  3. Select the Content tab. 
  4. Click Edit ✎ on the footer section of the form (the third section with Total and Balance Due).
  5. Place a checkmark in the Estimate summary box.

  6. Select Done.

Afterward, let's open your progress invoice. Then, click the Print or Preview option twice. Scroll down to the bottom to see the details of the Estimate Summary section. For visual reference, I've added a screenshot below.

Thanks for the info, but that doesn't answer my question. I need them to show on my invoices.  

 

In other words, I want to see the percentage billed for all tasks/services for the entire project on every invoice, even if it's already been billed at 100%.

Hello there,

 

If you want to see the percentage billed for all tasks/services for the entire project on every invoice, even if it's already been billed at 100%, then you'll want to run the Estimates & Progress Invoicing Summary by Customer report. It gives you a complete list of all estimates and connected progress invoices. Here is how:

 

  1. Go to Business Overview, then select Reports.
  2. Search for and open your Estimates & Progress Invoicing Summary by Customer report.

 

Customize the report and make sure to select the % INVOICED, then you can choose the other details that you want to see.

Again, this is not what I'm asking for.  I know how to run reports - I need the info to show on the CUSTOMER INVOICE!  

 

Attached is an example of how it used to look with the QB desktop version - notice the columns with a blue box around them.  

 

I can show progress for open tasks with the QB online version, but once the task is billed to 100%, it doesn't show on the invoice any longer.  That is what I'm trying to figure out.

I found a better option for my small consulting firm was to migrate to a true project management focused software.  In my case, I switched to BQE Core.  It costs more than QBO, but it has saved a ton of time allowing time and expenses to be entered directly into the system by staff (no double entry to get it into QBO), you can actually put a project name on an invoice, you can divide projects into "sub-projects" (tasks, phases, etc) for budget tracking purposes.  Because employees enter time and expenses into the system, your budget reports are up-to-date immediately for you to see where you stand on all your projects.  You can get a ton of different invoice templates and BQE will make you custom templates if needed (at a small cost per custom template).  When you have a question, you end up with real people calling you to provide support.  If you do project based work, you need to ditch QBO.  It won't do what you need it to do.  QB Desktop was much better and works as long as you don't mind manually entering employee time and expenses.  I found there was more incentive once we hit about 5 staff and at 8 staff, it was essentially a need to move on from QB.

I'm with you.  It's criminal that Quickbooks Online has worse functionality than Quickbooks Desktop.   Why would you drop something that is SO important to any company doing Task (multi-line-item) progress billing?  I was pretty much forced out of the desktop version I had and loved and sold on QB Online being better but it's not.  It's missing key functions that it SHOULD have and many of the basic things I did quickly and easily in desktop are so many more clicks and searches.  There's no time saving.  They REALLY need to at least fix this giant problem ASAP!
