How to set weight and amount in the invoice?

I want to set the item selling in case and calculating by pound. I set the U/M and custom field for pound, but the weight won't be updated. How can I set automated weight and the amount is calculated by weight?

I can share details about setting invoice weight and amount in QuickBooks Desktop (QBDT).

 

You're already on the right track! Since you're done setting up the unit of measure (U/M) in the Preferences, the next thing to do is to ensue that the U/M is added on the item that you're selling. This way, the system will automatically calculate the item by weight.

 

Here's how to add the U/M to the item:

 

  1. In QBDT, go to the Lists menu at the top.
  2. Choose Item List in the drop-down.
  3. Double-click the item in question.
  4. In the Unit of Measure section, select weight by the pound or the one you've created.
  5. Hit OK to complete.

Actually, I was trying to do it in this way. However, it wouldn't show by case if I used weight by pound. I set it case per pound, but the price only showed per case instead of pound. Is it possible to set the price per pound and the amount shows by case? I saw some companies are able to do that, but I can't figure it out. Thank you!

It's good that you were able to do it that way. The system won't generate by case when the item is set up weight by pound. 

 

And, yes, it's possible to set the price per pound and show the amount by case. Here's how to do it:

 

  1. Go to the List menu.
  2. Select Item Lists.
  3. Find the item you created. Double-click to open it.
  4. Click the Unit of Measure drop-down arrow. 
  5. Select Add New.
  6. Choose Weight (ounce, pound, kilogram, etc) in the Unit of Measure window.

  7. Click Next. Then, select Pound (lb).

  8. Manually add case as your related units. Then, Next.

  9. Set a name for the unit measure
  10. Click Finish.

 

You can then review the unit measure setup by clicking the Edit button. Set default units for pounds.

Thanks for returning to this thread, accountant413. I'm here again to provide further clarification. 

 

I've noticed that I mistakenly used the incorrect unit of measure type in my previous post. Please know that I have modified step 6 for clarification.

 

Instead of choosing Count (each, box, case, dozen, etc), we have to select the Weight (ounce, pound, kilogram, etc) option. Then,  Pounds and enter the case as your related unit.

I tried it in this way as well. I would show price per pound, but the amount and price showed by case after I put 1 case on my invoice.

 

This is what it showed before - price and amount by case:

The weight is a custom field, but the amount couldn't include that column in the calculation.

Based on the screenshot you've provided, let's review the item information and ensure the measure type unit is set to Weight (ounce, pound, kilogram. etc.). This way, it will reflect the items and price correctly when you create the invoice.

If the setup is correct, I'd recommend consulting with an accountant or tax advisor about this matter. This way, they can provide options for handling and recording the transactions. If you need one, you may follow the step's below:

 

  1. Go to our Find a ProAdvisor page.
  2. Use the City or ZIP search field to specify a location.
  3. Select Find a ProAdvisor.
  4. Browse through your results and find one that works best for the business. You can click on each ProAdvisor profile to learn more about them.
