QBD: Split ACH Deposit Received between Multiple Customers?

Hello,

We just started using a third-party payment processor for a group of customers. They sent us an ACH deposit that is a net amount, made up of multiple customers invoice payments and refunds.  We use the Bank Feed feature and the ACH deposit came in for $47.00.  Breakdown is:

($158.00) Customer A return a duplicate payment made in error (no invoice)

($785.00) Customer B return a duplicate payment  made in error (no invoice)

$594.00 Customer A Invoice payment

$396.00 Customer B Invoice payment

I'm unable to split the transaction between multiple "Received From" Customers.  How can I fix this?

Look no further, @SallyA1. Help has arrived to ensure this split deposit you received will get settled.


Since you’re using the Bank Feeds feature, you can add the ACH transaction and use the register to split the net amount to multiple customers. I’m glad to show you the steps:

 

  1. In your Bank Feeds Center, select the account where the ACH transaction is posted.
  2. Go to your Transaction List.
  3. Locate the said entry and add it to your register.
  4. Select the Added/Approved tab.
  5. Below the transaction, click the Splits button.
  6. Select the same account and enter the payment individually.
  7. Press Close after.

Thank you for your reply.  However, it still didn't work.  I tried to do a split in the Register by inputting the four transactions (I have two customers with both a refund and a deposit transaction) that make up net deposit amount of $46.21.  The error I got back is "Warning: You cannot use more that one A/R or A/P account in the same transaction."

I'll go over how we can get around this error you encountered when splitting your deposit in the register, @SallyA1

 

When recording the transactions, it must not contain these: 

 

  • Two A/R accounts
  • Two A/P accounts
  • One A/R account and one A/P account

 

Once you save these transactions, it leads to the following error message: Warning: You cannot use more than one A/R or A/P account in the same transaction.

 

You can choose from the workarounds given in this article to sort out this error: Warning: You cannot use more than one AR or AP account in the same transaction

Thank you for your reply, but not of those scenarios relate to my Accounts Receivable issue.  We've received an ACH deposit from third-party vendor for multiple customers.  The deposit amount is made up of two refunds (money due to Customers) and two sales (money owed from the Customers).  I tried to do a "Split" and record each of the transactions but I got error message that I can't use more than one A/R account in the transaction.

I do agree that splitting the ACH deposit directly would make your work easier, @sally. I've got clarification for you so you can deal with this concern effectively.

 

The error you received will appear if you're trying to record a transaction with two accounts receivable, two accounts payable, or one account to each of them. The ACH deposit is consists of invoice payments and refunds, which belongs to different accounts. Thus, you're getting the prompt because of these types of transactions.

 

In this case, I highly recommend consulting an accountant for further help. They can guide you on what action to take and which accounts are affected. This way, we can ensure that you're dealing with the transactions correctly.
