Our company accepts retainer fees per project. The first several invoices for a project may not exceed the retainer, resulting in a zero invoice balance. These invoices appear with a green paid watermark. I want to send the invoice to the customer to show progress billing but not show the invoice with the paid watermark. I do not see where I have the option to turn off the watermark in the custom invoice template. Thank you.
At this time, we are unable to remove the PAID watermark stamp on invoices, dmccabe.
We're always looking for ways we can make QuickBooks Online (QBO) better for all users. I'll personally submit your concern to our engineers for review. They may be able to include this in the future updates.
You might want to visit our QuickBooks blog to keep up with the product updates and enhancements.
You can also use progress invoicing to create multiple invoices from a single estimate. Instead of asking for full payment at the beginning, you can invoice for partial payments throughout the project. This is a good option if you’re charging customers for a fixed fee.
Let us know if you have further questions. We're here to help.
Is there a way to request this improvement?
I don't like the way the PAID stamp is displayed - not to mention that the balance is already zeroed.
I have the same issue with an invoice that has a charge and an equal credit amount which nets to zero. I don't want the invoice to say PAID on it. Three years since the original posting - has this been addressed or remedied?
Hello there, @KFCM.
Let's send feedback or product recommendations to help improve the features and your experience using QuickBooks Online (QBO).
When an invoice is zeroed out (nets to zero), QuickBooks automatically marks/watermarks it as paid. For the time being, removing its paid watermark isn't an option in QBO.
I can see how the benefit of being able to remove paid watermark from invoices would help you manage your income and sales transactions with QBO. With this, I would encourage you to send suggestions or product recommendations. We'll take them as opportunities to improve the various features of our products.
Your valuable feedback will be forwarded and reviewed by our Product Development team and will help improve your experience while using the program. Here's how:
Also, you may want to check out one of our Help pages as your reference to guide you in managing your company's income and customers using QBO: Sales and customer help for QuickBooks Online. This post is from 2020. Has their been a modification to QB Online to remove the 'Paid' watermark from invoices?
Hi there, Kim 1214. Thank you for joining the discussion and asking about the paid watermark on invoices.
The paid watermark is no longer available in QuickBooks Online because users requested its removal. If you wish to have this feature reinstated, you can share your comments or suggestions with our software engineers. Your feedback is crucial in guiding our Product development team's decisions on prioritizing features for future updates. Here's how you can participate:
Additionally, you can explore third-party apps that can be integrated with the system to display the paid watermark. Visit this link to find available apps: https://quickbooks.intuit.com/app/apps/home/.
You'll want to personalize the data shown in your invoices moving forward. Refer to this article: Customize invoices, estimates, and sales receipts in QuickBooks Online.
It's always my pleasure to provide the information you need with regard to handling invoices within the program. If you have further questions or need assistance, I'll surely return to you promptly. Take care.
No longer available you say? Then why is it still showing on my invoices?! It is incredibly annoying that it cuts through the text on the page. Text that includes warranty information and expiry details.
Hey Trisch!
Welcome to the Community, and thank you for bringing this to our attention! Could you please share a screenshot? Simply hit that Reply button below and select the camera icon. I will be looking forward. Take care.
I appreciate the screenshot, Trisch.
Thank you for providing the screenshot of the invoice. Upon reviewing the image, there appears to be a watermark on the document, which indicates that the invoice has already been paid. I understand you want it to be removed. However, this watermark cannot be removed. It is a standard practice to ensure accurate record-keeping and to avoid any confusion in the future.
The presence of this watermark is necessary to prevent any misunderstanding that may arise in the future regarding the status of the invoice. It serves as a clear indicator that the payment has been made and that the invoice is no longer outstanding.
However, you can send feedback or suggestions about our product's features, functionality, or usability to our product engineering team. We would greatly appreciate hearing from you. Our product engineering team is always looking for ways to improve our product, and your input can help us achieve that goal.
You can send your feedback through the Gear icon and select Feedback. We take all feedback seriously and will carefully review and consider each one. Your feedback will help us ensure that our product meets your needs and exceeds your expectations.
You considered using a third-party app to remove the Paid watermark. QuickBooks offers a range of apps that can integrate with the software and help with various tasks, including watermark removal. These apps are designed to streamline workflows and improve efficiency, making them an excellent option for busy professionals who want to get the most out of their accounting software. By exploring these app options, you can remove the Paid watermark quickly and easily without any hassle.
Here's an article on how to customize your invoice. By customizing your invoices, estimates, and sales receipts, you can create a more professional and personalized experience for your customers, which can help build trust and improve your business relationships. Customize invoices, estimates, and sales receipts in QuickBooks Online.
I hope this explanation clarifies why we cannot remove the watermark from the invoice. Please let me know if you have any further questions or concerns.
Y’all need to get on the same page with this because just 3 weeks ago in this very thread, SirielJeaB said that the Paid watermark is no longer available (see attached screenshot). That would imply that it had been removed.
Besides that, don’t try BS’ing us that it’s needed for accurate record keeping. That is what the big bold ZERO on the balance line at the bottom of the calculations is for. Having PAID across the middle of the invoice actually makes the invoice less accurate, because now our customer cannot read what is written on the invoice in full. It flat out obstructs a portion of the invoice.
There is no reason for the design team to not have added at the very least, a toggle to allow users to decide whether they want it to show or now. Until the design team is actively using their own program for actual books in real life, they should not be telling us how we want our stuff to show. The templates are bad enough as is, but this stupid Paid watermark is the bane of day. I should NOT have to remove a payment from a customer’s account, just so that the invoice prints out intact when a copy is needed after the payment has been applied. Tell me how that is an efficient use of our time?! Hint: it’s not…
