Buy nowHello,
We are a manufacturer who recently acquired a company that uses Shopify to process retail orders and Quickbooks Enterprise Manufacturing and Wholesale to process dealer / distributor orders. In the new company file, for now we are manually inputting the data (in the form of daily sales receipts) into Quickbooks using a single 'Web-Customer' customer and a single inventory item named 'web-item' for retail orders. This causes the need for more frequent inventory counting than desired. We plan two phases of improvement.
Phase 1 - Customer credit card processing - We've been denied a merchant account through Intuit so we cannot currently accept credit card payments for our Quickbooks customers (dealers and distributors). We are forced to find another solution for accepting credit card payments from these customers. We hope to partially integrate Shopify with Quickbooks to allow customer payments (through Shopify) for those Quickbooks customers who wish to pay with a credit card. We will not change the retail (web-order) processing in this phase.
Phase 2 – Real-time automated customer order / real-time inventory – We will need a fully-integrated solution once we get our real-time inventory processes set up.
My questions are...
1. In Phase 1 above, is it possible to use Shopify to accept customer payments for invoices that originate in Quickbooks (these are dealer and distributor invoices who send purchase orders to us and we process in Quickbooks)? We want a simple process that does not cause confusion.
2. Webgility has a high rating. Is this a good solution for both phases? If not, can you please recommend a connector that may accomplish our goals?
3. Can this be done without duplicating customers and/or items in Quickbooks?
4. Any recommendations for a better solution / work-around for Phase 1?
I appreciate any guidance or advice you can offer.
Thank you for your time.
I'll be happy to answer your questions one by one, ExoMfg. To make sure you'll have a seamless integration between Shopify and QuickBooks
For your first query, yes, it's possible to use Shopify to accept customer payments for invoices that originate in QuickBooks. To integrate Shopify with QuickBooks, you can visit this page: Apps for QuickBooks Desktop. From there, you can view the profile of the Shopify app that you want to integrate or even compare it with other apps.
Regarding your second question, Webgility links your online sales platforms to QuickBooks Desktop, so you can easily keep an eye on your earnings from Amazon, eBay, and Shopify right in QuickBooks. Additionally, you can access information about fulfillment, orders, inventory, and more from QuickBooks through Webgility. To check if this setup works for both phases you mentioned, I recommend contacting Webgility Live Support for further clarification. Their phone number is available in the article: QuickBooks Desktop e-commerce integration powered by Webgility, under the Support and additional questions section.
For your third question, it's important to configure the integration settings accurately to prevent any duplication of customers and items during the syncing process.
As for your last question, since you've been denied a merchant account through Intuit, you can consider other third-party apps or use Shopify Payments to process credit card payments for your QuickBooks customers. You can also check other users' reviews to help decide which best suits your business needs.
For your future reference, I’d like to share this article on generating customized sales and inventory reports, which will provide valuable insights into your purchases and sales: Customize item reports.
