Variables for workflow reminders

I am trying to create an automation that will send a reminder to a customer reminding them about an invoice. I would like to be able to personalize the reminder email with Dear "John" or "Mr. Smith." Not "John Smith."

 

Is there a way to do this? I am able to do when sending an automated thank after someone pays. However, support tells me that there is not. Any help would be greatly appreciated.

I've come to share some information about how sending a reminder to customers works in QuickBooks Online.


The system only allows sending a reminder to your customers informing them about the invoice they need to pay. You can select the customer's first name or its title, followed by the last name. This way, it will show up as the greeting. You'll need to choose your preferred option from the settings.

 

Here's how:

  1. Go to Gear icon and select Account and settings.
  2. Select the Sales tab.
  3. In the Reminders section, select the pencil icon.
  4. In the Subject line field, edit the subject line as needed. Tip: We recommend you keep "reminder" in the subject.
  5. Select the Use email greeting checkbox to personalize your greeting. Select a greeting from the dropdowns. 
  6. In the Email message field, clear the message text and craft your own. Or you can use the default message.
  7. When you're done, select Save and then Done.

On the other hand, being able to send an automated thank you email after paying the invoice isn't available. Know that our developers are constantly considering new features to be added to the system to cope with your business needs.

 

I'd encourage you sending this suggestion to them so this will be taken into consideration. 

 

To do that:

  1. Click on the Gear icon at the top.
  2. Choose Feedback.
  3. Enter your suggestion.

Thank you, BettyJaneB. However, I am working under the Workflows tab. I have a workflow that is supposed to send a client a copy of their invoice 30 days before it is due. I had previously set up a reminder like you mentioned in your response. I am trying to setup a similar workflow.

 

Right now, my issue is that I would like the salutation to say Dear Mr. "Smith" or Dear "John." The only variable I can add right now is "Customer Name." This uses the name that I use in QuickBooks to sort clients; which by last name, first name. Thus when a workflow executes the reminder says Dear Smith, John.

When setting up a reminder in the Workflow menu, QuickBooks Online (QBO) uses the customer name listed in your account. The option to change it is currently unavailable. You may consider changing their names in the list as a workaround.

 

I can see how having this option would be helpful for you and your business. I'll go ahead and take note of this. Our Product Engineers are always looking for ideas from users to improve QBO.
