Adding time to an invoice

We use Workforce to track time. Can we add the approved tracked time from an employee to an invoice that has been created in QuickBooks online? If so, how can we do this? Thx.

Adding time to an invoice

Welcome to the Community forum, Rmtobiasr.

 

You can add the time from Workforce to an invoice in QuickBooks Online by making the timesheet billable. 

 

To do this, you'll have to turn on the billable expense feature to enter billable time by job.

 

Here's how:

 

  1. Go to the Gear icon at the top.
  2. Select Account and settings.
  3. Choose the Time tab.
  4. In the Timesheet section, select Edit ✎.
  5. Turn on the Allow time to be billable setting. 
  6. If you want your users to see their billable rate when they enter their time, select the Show billing rate to users entering time checkbox. You may want to leave this unchecked if you bill customers at a different hourly rate than you pay your employees and subcontractors.
  7. Select Save, then select Done.

 

Next, have your employees track their time directly to the project and make sure to approve and export those timesheets to show them in your projects.

 

Once done, you can now create an invoice. Here's how:

 

  1. Go to Projects menu.
  2. Select the project.
  3. Click Add to project, then select Invoice
  4. Select the Customer.
  5. The billable timesheets will appear in the Add to Invoice pane.
  6. Click Add to all the billable time you want to include in the invoice.
  7. Fill out all other necessary information.
  8. Click Save and close.
