Class to autofill when entering time

I was able to set up my quickbooks to automatically fill in the class for a job when I am entering a bill but how do I get it to fill in the class when I am filling in a timecard?

QuickBooks Desktop offers a class tracking feature that lets you track expenses and income by different classes or categories. This feature is helpful for businesses that want to track expenses and income for different departments, locations, products, or projects. You'll need to follow a few steps to use class tracking when filling in a timecard in QuickBooks Desktop.

 

First, you'll need to ensure that class tracking is enabled in your company file. To do this, go to the Edit menu, select Preferences, and then select Accounting from the left-hand pane. Next, go to the Company Preferences tab and check the box next to Use Class Tracking. Click OK to save your changes.

 

Once you have enabled class tracking, you can then fill in the class field when filling in a timecard by following these steps: 

 

  1. Go to the Employees menu, then select Enter Time
  2. Select the employee for whom you want to enter Time. 
  3. Choose the date for which you want to enter the Time. 
  4. In the Class column, select the appropriate Class from the drop-down list. 
  5. Fill in the other fields as needed, such as the hours worked and any notes. 
  6. Click Save & Close.

 

 

By filling in the class field for each timecard, you can track time by Class and generate reports showing how much time each Class spends on different projects or activities. To run a report that shows Time by Class, go to the Reports menu, select Jobs, Time & Mileage, and then select Time by Job Summary. In the report, you'll see a column for each Class and the total time worked for each Class. You can customize the report to show other details, such as the employee name, the date range, and the job name or customer. 

 

By using class tracking when filling in a timecard in QuickBooks Desktop, you can gain valuable insights into how your business spends its time and resources. By tracking Time by Class, you can make informed decisions about allocating resources, managing projects, and improving your business operations. Class to autofill when entering time

Thank you for the response!

When I set up my jobs under the customers I am specifying which class at that time the particular job should use. Is there a way that will automatically fill in when I put in the job? Just like it does when we enter a bill. We typically have over 200 active jobs at a time and to remember which class is associated to each job is near impossible without having to look each one up as I am entering the timecards. Please advise.

I appreciate you for coming back to the thread and clarifying the option that you need in managing class in QuickBooks Desktop, JLarsonGR

 

The option that will automatically fill in the class when selecting a job in creating timecards or in the Time/Enter Single Activity field is currently unavailable in QuickBooks Desktop. Since the said auto-fill is useful on your end, I'll ensure you can send feedback so the option you want to use will make it possible.

 

I recommend going to the Help icon in QBDT and you're able to enter your product suggestions from there after choosing Send Feedback Online. You can then select the Send Feedback button to submit the request about having the ability to auto-fill the assigned class after choosing a job.

 

Furthermore, all suggestions are being considered by our product engineers based on the volume of requests and their influence on the user interface before they are implemented. 

 

While waiting for the option to be implemented, you'll have to manually choose the appropriate class on Class the drop-down list.

 

Lastly, refer to this article if you need steps on how you can run a report that can provide you data with classes: Filter, sort or total reports by Class.

The option to fill the class for a job when entering bills is unavailable in QuickBooks Desktop. I recommend submitting a feature request to our software engineers so they may consider including this functionality in future product upgrades. 

 

To send feedback:

 

  1. Click on Help, then select the Send Feedback Online option.
  2. Tap on Select the Product Suggestion. A pop-up window will appear.
  3. Enter your feedback suggestion.
  4. Hit on the Send Feedback button.
