When approving how do managers add a lunch break to an employee

Adding Breaks to a timesheet is just like adding a normal Timesheet, you will have to adjust the timesheets the come before & after the Break occurred before you can add the Break Timesheet

 

To add a Timesheet/Break;

  • Login to your TSheets Account
  • Locate Time Entries on the left side menu
  • Go to the Timesheets Tab
  • Click the Blue +Add Time button
  • Enter in;
    • The Team Member you are Entering Time for
    • Select if it is Time In/Out -or- a Duration
    • Enter in the Start/End Time -or- the HH:MM
    • Select the Customer/Job -or- the Break
    • Add any Notes
    • Save

What if there is a mandatory 30 min lunch break? How do I set this up automatically? I don't want to make this change manually for every employee.

You do have the option to create Auto Breaks within TSheets and assign them to specific or all Team Members, here is a link with a step-by-step guide & video on how to set that up;

Once you have that setup (for Auto Breaks) then you can go in and edit the timesheets for the users that needed the break entered in;

  • Login to your TSheets Account
  • Locate Time Entries on the left side menu
  • Go to the Timesheets Tab
  • Edit the timesheet(s)
    • At the bottom of the timesheet(s), there will be a box to check for the timesheet to add the Auto Break on 'save'
  • Save

I followed this and it gives me an error that the employee has a timesheet overlap. I am doing:

9-12 in

12-1 (Lunch) out

1-6in

Hey there, @jmg2020.

This is a great question! We want to make sure there's not a timesheet existing already for the day for this employee.  We are unable within TSheets to have multiple timesheets for the same time frame.  Here's how to check:

  1. Click on Time Entries on your left menu within your Desktop TSheets account
  2. In the top right-hand Team Member search bar, search the employee you are creating the timesheets for.
  3. Find the correlating date.  If there is an existing timesheet, you can either edit it to meet your needs or delete it to create all-new timesheets.

Another thing to note; if you're creating a timesheet for the present day, and the employee is on the clock, you can also receive this message.

I added a lunch, but it has added to the entire day - 8.5 hrs. How do I get it to deduct?

Good afternoon, @jht3! Thanks for reaching out for help with our lunch break. I'm happy to help you edit that timesheet so that it's correct. Here are those steps:

  1. Go to Time Entries, then Timesheets. Find the lunch timesheet (you can filter by employee in the upper right-hand corner).
  2. On the right, select the pencil icon () to open Timesheet Editor.
  3. Edit the start and stop time.
  4. Select Save.

Yes, I did that, but as I said it has added to the employee's entire day making it 8hr 30 min instead of just 8hr. Will I just need to deduct time from his clock out for the day?

Hi jht3!

 

The lunch break will be included automatically on the total worked hours. For example, if the shift starts at 6 am and ends at 2 pm, with 30 minutes lunch, the timesheet total will still be 8 hours. If the shift starts at 6 am and ends at 2:30 pm, with 30 minutes lunch, the timesheet total will be 8 hours and 30 mins.

 

However, you have an option to set the lunch break as paid or not. 

  1. Go to Feature Add-ons, and select Breaks.
  2. In the Breaks Preferences window, select the break's Name
  3. From the Type section, choose either Paid or Unpaid. Tap Save.

If I have a paid 1 hour lunch break, but the employees go a few minutes over sometimes or take an extra hour.  The entire time out is classified as lunch. How would I  be sure that the extra time out is not being paid

Thanks for following the thread and sharing your concerns. 

 

In QuickBooks Time, we offer a feature that will automatically clock your employees in once their lunch break is over. I've included some steps to turn this feature on below. 

 

  1. Click on Feature Add Ons in the lower-left corner. 
  2. Select Breaks.
  3. Add a checkmark to the Automatically end break when duration ends box.  
  4. Hit Save.

 

However, there's not an option available at this time to add on to the break as unpaid time. This would be the perfect opportunity to send a feature request to our Product Development Team. This way, it can be considered in a future update. You can use the link I've included below to submit your request.

I'm getting the same error. It looks like the only way to insert a lunch break is to manually redo all of it...is this right?

Thank you for chiming into this thread and letting us know you have the same concern. My colleagues above provided the best resolutions for this error you're getting by adding a lunch break to your employees' working hours.

 

First, we need to check that there are no existing timesheets with the same time frame for each employee.

 

Here's how to check:

 

  1. Within your Desktop TSheets account, go to Time Entries in the left menu.
  2. Search for the employee you're creating timesheets for in the top right-hand Team Member search bar.
  3. Find the date that corresponds. If an existing timesheet exists, you can either change it to match your needs or remove it to start over.

 

You will also have the same error if the employee is on the clock while you're creating a timesheet for the present day.

 

To edit the timesheet, you can follow the steps provided by my colleagues, @K_Siman, and @sberti.

 

If you prefer to redo everything, you can also do that. That will remove the hidden mistakes.

Hi

I want to the actual hours worked.

 

When employee works 82.5 hours I want to deduct lunch 2.5 hours i want to see only total of of 80 hours showing worked.  Not 82.5 which what shows now.
