Accountant's Copy password

Hi.  We use QB's Enterprise Desktop 20.0  We have multiple company files that we need to create accountant's copies for every year.

 

My question is:  Is there anywhere to assign a password for our CPA specifically w/o having to give them our admin passwords?

 

Currently, we have to change every company's admin password to our agreed to CPA password then create the accountant's copy.  This is a pain because 1) we have about 15 different company files and 2) with the password restrictions of not using the last 8 passwords (or whatever it is), it's very cumbersome.

I understand that you need to send the accountant's copy with a different password. While we're unable to do this, you'll want to continue changing the password before you send it.

Hello, RP_877. 

 

I'm happy to shine some light on a solution that will work for you and your accountant. The best option would be for your Accountant to use an Accountant Copy. To do this check out the following article, it highlights everything you need to know, how to set it up, how to review books and work in your company file. Here, you can also reset the password and select your own. Here's how. 

 

  1. Enter *.* in the File Name field to view all files in the selected directory.
  2. Select the Accountant's Copy (.QBA) file.



  3. Enter and confirm your New Password and select Reset Password to complete the process.

Accountant's Copy password

Hi Nick.  Thanks for your response.  I'm not sure I posed the question correctly.  I'll try to clarify.

 

We do use Accountant's Copies for sending files to our CPA.  We send the  .QBX files to our CPA via our own secure file transfer service so we do not use Intuit's file transfer service.

 

The issue is that when you create an Accountant's Copy it retains the existing admin password for that company file.  In order for the CPA to view the company file, we must give them the admin password.

 

Since we do not share our company file passwords with anyone, we have to change the admin password prior to creating the Accountant's copy using a password specifically for our CPA.

 

My question is - how do we retain our current admin password and send the file to our CPA with the CPA specific password?

Hi, 

 

I think the solution you are looking for is to create a user ID in each of your files which is just for your accountant.

 

In my case we created an Accountant user ID and gave them that password.  Hint: setup this user ID as and external accountant and they will have nearly the same access as admin.
