Alfac deductions in QB Desktop

We use an outside payroll company. They deduct employee contributions for Aflac.  How should I enter the journal entry for Aflac?

Hello there, @MonicaMO.

 

I'll be adding details about on what's the best thing to do when entering entries for Aflac in QuickBooks Desktop (QBDT).

 

In QBDT, you can set up manual payroll without a subscription. First is to make sure your QuickBooks is up-to-date.

 

  1. Go to the Help menu.
  2. Select Update QuickBooks Desktop.
  3. In the Update Now tab, you can select the Reset Update checkbox to clear all previous update downloads.
  4. Select Get Updates to start the download.
  5. Once downloaded, restart QuickBooks and accept the option to install the new release.

 

Then, enable payroll inside your QuickBooks settings. Here's how:

 

  1. Within your company file, go to the Edit menu.
  2. Select Preferences.
  3. Select Payroll & Employees, then select the Company Preferences tab.
  4. In the QuickBooks Desktop Payroll Features section, select the Full payroll and the Manual Payroll checkboxes.
  5. In the Get payday peace of mind window, select Next and then Activate in the confirmation screen.
  6. Then, hit OK to apply the changes.

 

If you're unsure what account to apply when creating a journal entry for Aflac, we highly recommend consulting your accountant. They help you ensure entries will be properly recorded and associate with the correct account. This way, your payroll data won't mess up.

I will add a few details, MonicaMO.

 

We have two options to enter the Alfac deductions in QB Desktop:

  • Payroll subscription
  • Manual payroll

You'll want to do manual payroll instead since you don't want to subscribe to our payroll product. This way, you can create a journal entry to enter the deductions.
