As of today, the date filter in Advanced Search will only let me go back 2 years. How do I change that setting?

Lately, the date filter has been defaulting to 1/1/2021, but I've been able to change it to get transactions that are a decade old, or longer. Today, it will only go back to 6/1/2019.

Hello there, @patty32.

 

Let's verify if the browser is causing why the dates only go back to 6/1/2019. As long as you have recorded transactions before, you'll be able to view them by customizing the dates.

Log in to QuickBooks in a private browser. Let's follow the recommendation below to resolve this unexpected behavior.

 

  1. Refresh your browser by clicking the Reload icon or pressing F5 on your keyboard.
  2. If the same thing happens, we can log in to your account through an incognito window. This mode doesn't store cache that's why we recommend using it.
     
  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Shift + N

 

If it works fine, we can clear the cache of your regular browser. This helps remove any browser-related issues and refresh your browser's settings. Aside from that, you can use other compatible browsers in QuickBooks Online. Below are the things that you can try on:

 

  • Mozilla
  • Google Chrome
  • Microsoft Edge
  • For Safari, make sure to use the latest one.

Hello, thanks for the recommendation, but I tried it in an incognito browser window, and the 2 year limit is still there.   It's also happening to my business partner in a different location, in her account, so I don't think it's a browser issue.

Thanks for letting us know on how the troubleshooting process goes, patty32.

 

Currently, we have an ongoing investigation (INV- 59794) with the Advanced Search feature. It's about being unable to edit the date filter to any date older than July 01/2019. Rest assured that our engineers are working diligently to get it resolved.

 

I recommend contacting our Customer Care Support team so that you can be added to the list of affected users. This way, you'll receive email updates of the investigation's status and be notified once it's been resolved. I've included the steps to contact support below. 

 

  1. Click the (?) Help icon in the upper right-hand corner of the Dashboard.
  2. Select Talk to a Human.
  3. Enter a short description of your concern and press Enter.
  4. Click I still need a human.
  5. Select Contact Us to connect with our live support.
  6. Choose Get a callback.

As a workaround in viewing your transactions, I'd suggest running and customizing your Sales or Expenses report to find transactions older than July 1, 2019.

This is nuts. Old invoices, estimates, and work orders are why we need the search function. 2 years is unreasonable. Your engineers are apparently are too young to understand that 2 years is just a blip--some of us have been in business for decades. Please put this back to the way it was--this could be a deal-breaker for continuing with QBO.

I’d like to let you know we have made changes to the way the date filter in the Advanced Search filter works. In the past, customers were able to run a query expanding as far back as the date their QBO account creation date. These types of queries have caused performance issues in the near past so changes were necessary to ensure QBO availability and, at the same time, access to all your data.

 

That is why, starting Wednesday, June 16th, 2021, we have changed the way the date filter in the Advanced Search works. You will still have access to all data entered into QBO, the date filter will limit you to look for information in two-year blocks. Thus, if your QBO subscription started in 2015, you will be able to look for information from 2015 - 2017 or 2016 - 2018, etc. 

 

We appreciate your patience and look forward to hearing from you if you have further feedback.

Well, it's good to know we can at least do searches in two year blocks. But I have data back to 2002, and when I go looking for a needle in a haystack, repeating the same search 10 times to  cover 19 years really sucks. This is really a backward step for QBO. If you're going to solve your "performance issues" by limiting functionality, then the price should be adjusted accordingly. But since I'm unaware of performance issues in the past with the search function, this seems like Intuit simply wanting to cut costs by throttling capabilities. I am a very unhappy customer right now.

First of all, I agree with audiobrad59 completely.  This "fix" will take us SO much more time to do something that previously was easy.  Secondly, this does not work as you stated.  We can only go back 2 years (to 6/1/2019).  I tried setting the end date to 6/1/2019, and I still can't change the beginning date to anything earlier.  If you could at least provide instructions as to how to go back to earlier blocks of 2 years that would help.

Please understand creating an easier environment for our users is our goal. I'll be sure to submit this feedback to our product developers to change the update back to the way it was prior.

 

In the meantime, I have a workaround that you can try out to review the older transactions. I've included the steps below. 

 

  1. From the Sales menu, click All Sales
  2. Select Filter, then adjust the dates and transaction type if needed. Hit Apply.
  3. Now you can see your previous transactions.

Thank you for that, I will keep it in mind.  I generally use the search feature to find invoices and estimates (which this will help with), but also purchase orders by customer... I know purchase orders are a vendor thing, but each line item also is tied to a customer, so searching all POs for a particular customer is very helpful, and a feature we use every day.  This is what we will be missing with the change to the Search feature.  FYI.

Thanks for your reply Tori. Your workaround is interesting, but doesn't help if I'm searching for a job name or PO number.

 

As for your comment "Please understand creating an easier environment for our users is our goal." I'm sorry but that rings very hollow. How am I supposed to understand that you are making my environment easier when you are taking away a key feature that makes my life easier?

The problem with the date filter persists - as of today I can't search on transactions older than 1 August 2019.

This has now been an identified problem for months. When will this be fixed??

Thanks for following this thread, @Chris582. This issue has already been resolved as per checking on out investigation list.

 

Since the issue persists on your end, I'd recommend contacting our Customer Care team so they can take a closer look at this issue.

 

They can also reopen the case to investigate whenever necessary. Then, they'll add your details to our notification list of affected users and receive updates through email. 

 

Here's how to reach them:

 

  1. In QBO, click the Help (question mark) icon at the top right.
  2. Select a suggested option, or type a question or topic you need help with.
  3. Tick Contact Us and choose a way to connect with us.

Thanks for your reply katherinejoyceO. The issue relates to banking transactions. The date filter works when searching for custom dates in transactions "For review" or "Categorised". However, if you go to the bank register, the problem persists, and the date filter does not work when searching for transactions older than 2 years.

You can set August 1, 2019, as the earliest in the From field of the date filter in a QuickBooks Online (QBO) account register. If you need to search for transactions older than the date I mentioned above, it's best to run a report instead. I suggest using the Transaction List by Date report. 

 

Here's how:

 

  1. Go to the Reports tab.
  2. Type in Transaction List by Date in the search box.

 

At this point, you can proceed to customize the report, such as changing filters and date ranges. 

 

I suggest you also keep this article for future reference: Common custom reports in QuickBooks Online. It's a list of the custom reports for QBO users, along with the steps on how to generate them.
