Attaching Receipts AFTER Reconiliation

I am a longtime QB Desktop user and new QBO user.  I am stumbling my way through this.  I have fallen behind on filing and was hoping to be able to attach receipts after I reconciled.  Does anyone know if that is possible?  I keep getting warnings that it will change the reconciliation.  Redoing 4 months of reconciliations is not my idea of fun.

Let me share details about attaching receipts after a reconciliation in QuickBooks Online (QBO). This way, you can effectively manage your transactions and keep your account updated.

 

You're able to attach receipts after completing a reconciliation in QBO. When you're only attaching receipts without changing the reconciled transaction's amount, date, and/or account category, you're not affecting your reconciliation. The warning you've received only indicates that you're editing a reconciled transaction. You can ignore it as long as you aren't changing any info mentioned above. Then, attach the receipts accordingly.

Will adding a reference number effect the reconciled transaction?

Thanks for chiming in on this thread. Allow me to give you some information about edited transactions after a reconcile. 

 

Adding a reference number won't affect the reconciled transaction(s). You're good to go ahead and add a reference number. The only time the transaction is affected is by changing the amount, date, and/or account category.

I went to attach a receipt and now QBO is prompting me for a password to make that change to an already reconciled transaction. When I entered my QBO login password it was incorrect. How do I set up this password?

Hi, @GrossmanDreamHomes.

 

I'll share some insights about editing a reconciled transaction in QuickBooks Online.

 

When making changes to a reconciled transaction or if the transaction was on or before the company's closing date, a prompt message will show up to enter your password. Thus, this will affect your books when you modify them.

 

The password you'll enter is created by the primary or company admin when closing the books and not the QBO login. If you're the admin of this account, you have the option to change your closing password or remove the password. Here's how:

 

  1. Go to Settings ⚙, then select Account and Settings.
  2. Pick the Advanced tab.
  3. Choose Edit ✎ in the Accounting section.
  4. Change the Closing date
  5. To change your password, you can enter a new password and confirm it.
  6. If you choose not to include a password, click the dropdown and select Allow changes after viewing a warning.
  7. Pick Save, then Done.

 

If you're not, you'll want to coordinate with your company administrator for the password or request to be the primary admin or contact if needed.
