Bank balances chart of accounts wrong. Registers & Balance Sheet right.

The bank balances in my chart of accounts are incorrect.  However, the registers and the balance sheet agree and are correct.  Why is the chart of accounts wrong and how do I fix it?  I have re-booted, I have installed current updates.  I even cleared cache.  Tried chatting with support, but obviously I did not have the agent's full attention.  After repeating my question to her twice, I waited and waited for a response....nothing.  So I left the chat since she couldn't see fit to respond to my 2nd answer to her question.  My time is valuable, we pay for support and we get trash support - this is nothing new..  Does anyone out there have any suggestions?  My thought is maybe rebuilding the file?  Thanks.

Hi there, cc1515.

The bank balance on the Chart of Accounts should match the Balance Sheet report and registers. Can you please send a screenshot of these three statements with their balances on them? That'll help me check how you pull them up.

To send a screenshot, click Reply below, then use the Insert Photos icon. Here's a visual guide for you.

I'll keep this post while waiting for your response. Thank you and take care always!

I am not posting a screenshot showing our bank balances or our balance sheet, sorry.  This is how I pull them up:

1.  Open Chart of Accounts

2.  Look at the bank balances shown there.

3.  Open the register for the bank account.  Look at the balance there.

4.  Run the Balance Sheet Report, look at the bank balances there.

5.  The Register and the Balance Sheet agree and are correct.

6.  The Chart of Accounts is different and is wrong.

Not sure what else I can tell you.  We are on Enterprise desktop.  All balances agreed until last week.  All bank accounts were reconciled end of December.  I have cleared cache.  I have re-booted.  I have made sure latest update is installed.  We condensed our file several months ago.  It is probably still rather large, but not nearly as large as before.  The only thing I can think of is to rebuild the file, but I would like to avoid that.  Thanks.

I have the same problem. I don't believe this is a new issue, surprised QB support isn't aware of it. Frustrating!

Hi

I'm having the same issue.  I've got a bank account that is zero in my register, but on the chart of accounts it shows a balance of 9,464.00

Also, my other bank accounts also not in balance

Thanks for notifying us of your concern, Elma.

I can show you the steps on how to verify and rebuild data in QuickBooks Desktop (QBDT) to resolve incorrect bank balances in your check register and chart of accounts.

The verify tool searches the most common issues in a company file, and the rebuild tool resolves them.

To verify data:

  1. Go to the Window menu and select Close All.
  2. Go to the File menu and click Utilities.
  3. Select Verify Data.

To rebuild your company file data:

  1. Go to the File menu, select Utilities, and click Rebuild Data.
  2. Select OK.
  3. Choose where you want to save your backup and click OK.
  4. Enter a new file name and select Save.
  5. Click OK when the rebuild has been completed.

Run the verify data again to check for additional damage.

Furthermore, it's advisable to reconcile your accounts each month to ensure they line up with your actual bank statements.

Feel free to reach out back to us if you have any clarifications about bank balances. We're always available in the Community to lend you a helping hand. Stay safe.

We appreciate you for notifying us of your similar banking experience in QuickBooks Desktop, MCOEandi. I'm here to help you rule this out.

The bank balance on the Chart of Accounts should match the Balance Sheet report and registers. This unusual behavior on your company file is likely due to some data damage. I recommend using the Verify and Rebuild Utility Tool. This helps you identify the most common issues and resolves them. Here's how:

To verify data:

  1. Open the Window menu, then hit Close All.
  2. Go to File, then click on Utilities.
  3. Choose Verify Data. If you see:
    1. QuickBooks detected no problems with your data—your data is clean, and you don’t need to do anything else.
    2. An error message—search for it on our QuickBooks Desktop support site for how to fix it.
    3. Your data has lost integrity—Data damage was found in the file. Rebuild your data to fix it.

To rebuild data:

1. Utilities, and then hit Rebuild Data.

  1. QuickBooks will ask to make a backup before it rebuilds your company file. Select OK. A backup is required before you can rebuild.
  2. Choose where you want to save your backup, then OK. Don’t replace another backup file. Type in a new name in File name and click on  Save.
  3. Tap OK when you get the message Rebuild has completed.
  4. Go to File, choose Utilities then select Verify Data again to check for additional damage.
    1. If the verify finds more damage, you’ll need to fix it manually. Search for the error(s) in the qbwin.log on the QuickBooks Desktop support site for how to fix it.
    2. If your error can't be found, you can restore a recent backup. Go to File then select Open or Restore Company.

Finally, if the issue persists, I recommend contacting our Customer Support team. This way, they can investigate and help further with what to do.

I'll also include this article to find out more ideas on how to fix data problems in your file. Fix data damage on your QuickBooks Desktop company file.

You'll want to review your statement and ensure it matches what you've recorded in QuickBooks Desktop (QBDT), @Karen181. This way, we can deal with the issue and ensure the bank balances of your chart of accounts match what you have in the register and the balance sheet.

One potential cause of the mismatch between your COA bank account balances and the report could be that certain expenses, although cleared by the bank, have not been recorded in QuickBooks, or some transactions have been incorrectly categorized. To address this issue, you'll want to review your bank statement and verify its accuracy against the transactions entered in your QuickBooks Desktop (QBDT).

If the issue persists, I recommend contacting our Live Support Team since they have the necessary tools to access your account in a secure environment to determine the root cause of the problem. By doing so, they can provide the steps to help you rectify this issue promptly. These are the steps:

  1. Open QuickBooks and Go to the Help menu.
  2. Select QuickBooks Desktop Help/Contact Us.

In addition, here's an article to help you reconcile your bank accounts in QBDT: Reconcile an account in QuickBooks Desktop.

We'll be around if you require further assistance handling accounts in your chart of accounts, @Karen181. Continue to utilize the comment section if you have other questions about the QuickBooks. This way, we can get back to you as soon as possible.
