Can you delete old pay types no longer needed?

Hi there, @rthrasher. I would be more than happy to help you delete old pay types in QuickBooks Online.

All you need to do is access the employee's profile and uncheck the unused pay types. Here's how:

  1. Go to the Payroll menu and select Employees.
  2. Select the name of the employee.
  3. Under the How much do you pay section, select the Edit icon next to Add additional pay types.
  4. Uncheck the box for unused pay types.
  5. Click Save.

By unchecking the box next to these pay types, they'll no longer appear as an option when you run payroll. Here's a guide for your reference: Add or Change Pay Types.

Additionally, here's an article about how each pay types and deductions affect federal taxes and forms: Supported Pay Types and Deductions.

Fill me in should you need have any other payroll questions or concerns. I'm always here to help. Have a great day.

Can you explain why this first paytype is unable to be unchecked?  I want to inactivate it, but I'm unable to. pay type.jpg

Thanks for reaching out to the Community, Bkkprgal.

I've reviewed our ongoing/solved investigations and can confirm there's currently no records of subscribers reporting that they're unable to uncheck pay types.

Since yours isn't letting you untick it, I'd recommend checking your browser. It's possible this could have something to do with temporary internet files. Browsing applications store these types of records, but sometimes they can cause issues with certain webpages. You can open a private window and try unticking it again to see if it works.

Here's how to access incognito mode in some of the most commonly used web browsers:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Option P

If you're able to uncheck it while browsing privately, it's safe to say this problem's being caused by your browser. It can be fixed by clearing cached data and Intuit-specific cookies.

In the event it continues occurring while using incognito, you'll initially want to try switching to another browsing application.

Here's a list of supported browsers:

  • Google Chrome
  • Mozilla Firefox
  • Microsoft Edge
  • Safari 11 or newer

You can also check a browser's compatibility with your books by utilizing our browser health checkup tool. QuickBooks supports the current and two previous versions of browsers. If you find that you're using an older version, make sure to update it to its latest release. Steps for doing so can be found on the particular company's website.

In the event you've found no problems that could be causing this with your browser, I'd recommend using a different device and/or internet connection. If it continues happening on other devices and internet connections, you'll want to get in touch with our Customer Care team. They'll be able to pull up the account in a secure environment, conduct further research, and create an investigation ticket if necessary.

I've additionally included a detailed resource about system requirements that may come in handy moving forward: System requirements for QuickBooks

Please don't hesitate to send a reply if there's any questions. Have a great day!

Can I get a callback?

Unchecking a pay type does not clear room for new pay types. I need to be able to do this.

Can you delete old pay types no longer needed?

Hello there, @GraceHHC. I can provide some steps about unchecking a pay type in QuickBooks Online (QBO) payroll.

Pay types that you have previously used cannot be deleted, but they can be hidden or removed when not in use. Here's how to hide the pay types from the Run payroll page:

  1. In the Run payroll page, select Customize table.
  2. Choose the pay types you don’t use.

Otherwise, I suggest performing the steps through a private/incognito window. The private window will not save any history, making it a good place to identify browser problems. To save you time, use either of these keyboard shortcuts:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

If you're able to uncheck a pay type using a private browser, go back to your regular browser and clear its cache. You can also use other supported browsers as an alternative and roll out the possibility of a browser-related issue.

However, I suggest contacting our Customer Care Team if the issue persists. They have the tool to securely look into your account and analyze why you cannot uncheck the pay types.

I'm also adding this article for future reference about running payroll reports in QBO: Run payroll reports. This will give you a closer look at your employee's total wages, deductions, and tax information in a certain period.

You're always welcome to get back to this thread if you have other Payroll-related concerns. I'll be around ready to back you up. Keep safe!
