Join nowOur Company runs a job costing system for all of our projects. We had 4 separate jobs set up under a customer and all the transactions were recorded under each of the applicable 4 separate jobs. Now we learn that the 4 separate jobs should have been the separate parts to the complete job. We should have set up a parent job and them set up each of the 4 separate job numbers as children under the parent job. This would have allowed us to roll up all the revenue and costs under the parent job. Is there any way I can do this now that the jobs have been completed.
Hi @vgardner218,
Yes, you can change a job in a sub-account of a customer in QuickBooks Desktop (QBDT).
Let me show you how:
I suggest you view this article: Customize customer, job, and sales reports in QuickBooks Desktop. It's a detailed guide on how you can customize job reports.
Tag me in your reply below if you have other questions about QBDT. I'll handle them for you as soon as I can.
Let me try to be a little more detailed. The current set up I have is as follows:
Customer Name
* Job number 72767
* Job number 72890
* Job number 72891
* Job number 72892
The 4 job numbers are associated with each part of the final product that we fabricated for this customer. Normally we would have established a job number (Parent) for the final product and the other 4 jobs would be the children and would roll up to the Parent. The way this one was processed, each of the 4 jobs have expenses applied against them but the actual sales invoices were issued under the customer name. The sales were properly recorded in the ledgers but this revenue is now not associated with these 4 jobs so I cannot run a profitability report and capture the sales revenue and the total of the expenses from the 4 jobs.
What I want to do is get all of the sales revenue and expenses to roll up into one job. This could be done under one to the existing 4 jobs or we could create a new job number.
Thanks for following up with the Community, vgardner218.
Since your revenue isn't showing correctly for this customer and their jobs, you'll want to work with an accounting professional to properly identify how you can show what you're wanting to see.
If you're in need of one, there's an awesome tool on our website called Find an Accountant. Each ProAdvisor listed there is QuickBooks-certified and able to provide helpful insights that can drive your business's success.
Here's how it works:
Once you've found an accounting professional, they can be contacted through their Send a message form:

I'll be here to help if there's any questions. Have a great day!
