Customers don't appear in certain reports for expenses

When you create an expense in QBO, there's a field for Customer. We use this frequently to allocate an expense against a customer engagement.

 

However, this customer value doesn't appear on many reports. For example, if I run a Transaction Detail by Account report, and include the Customer field as a displayed field, Expense transactions where I have specified the Customer do not show the Customer on the report. This field is blank on the report. Additionally, if I elect to Group the report by Customer, all expense transactions in which I have specified the Customer are all together in a "Not Specified" group.

 

What's the point of including a Customer field on an expense transaction if you can't use or see it?

Thanks for reaching out and providing detailed information about your concern when running expense reports in QuickBooks Online (QBO), @Yo_Be_Low.

 

The customer's that link to expense transactions should show on the expense reports. I've checked our records and haven't found any incident similar to this. So, I've replicated your issue on my sample file and verify that customers with expense transactions are showing on the Transaction Detail by Account report.

 

To ensure your customer show on the report, I recommend checking the expense transaction if it was correctly link to a customer. Then, try opening your account in a private (incognito) window. You may have encountered a problem with your browser caused by too much cache being saved on your browser and creating unusual system behavior. 

 

Here are the keyboard shortcuts to open a private browser:

 

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Microsoft Edge: press Ctrl Shift P
  • Safari: press Command Shift +N

 

Once you've login via a private window, open the report again. If it looks good, go back to your regular browser and clear its cache. You can also use another supported browser as an alternative.

I opened a Chrome Incognito window, logged into QBO, and the same problem occurs.

 

Re: "checking the expense transaction if it was correctly link to a customer." - I don't really understand what I would do here. I can open an expense transaction and the Customer is clearly specified. If that's what you mean, this is not the problem.

 

It doesn't just happen with one transaction, it happens with all expense transaction that I link to a customer.

 

The report I'm running where the Customer is not being identified is "Transaction Detail by Account".

You'll see a Not Specified tag in the reports when a transaction doesn't have a customer assigned. Since you've confirmed that your expense entry is clearly specified with a customer, I recommend contacting our QuickBooks Online Support team. They have the tools to pull up your account in a secure environment which we're unable to do it here in the Community. That way, they'll be able to investigate the cause of why the customer is missing on the report.

 

Here's how to contact them:

 

  1. Open your QuickBooks Account.
  2. At the top right, click the Help icon.
  3. Choose the Assistant section.
  4. Type your concern in the Type something field.
  5. Click Talk to a human.
  6. Click I still need a human.
  7. Click the Get help from a human.
  8. You'll be routed into the How can we help? page. Then, select how you want to contact them and fill in the information.
