Customers paying convenience fee is marked as an overpayment! I think it's a bug in quickbooks.

I have convenience fee set to on, so when a customer opts to pay an invoice with credit card they are automatically charged a 3% fee. This was working great! Until the last few weeks, where now the customers extra 3% is listed as an overpayment. As you can imagine this is causing a lot of extra bookkeeping work not to mention a mess. Please help set it back to to the way that it was!

This is not the service we want you to experienced, @benjid.

 

Let me share some information to help you rectify this concern and accurately track your customers' payments.

 

The convenience fee feature is currently under beta phase. We've received some reports coming from some customers who have experienced the same issue while using the convenience fee feature. That being said, we are no longer offering the same feature to all customers due to requirements from the card brand network.  Since you already experience the same issues with the convenience fee, we recommend to stop using it. While waiting for an alternative way to offer this feature ongoing in the future, you can follow steps below to help you rectify your records.

 

First, let's make sure to create a convenience fee service item. Here's how:

  1. Click the Gear icon, then select Products and Services
  2. Select the New button. And choose Service.
  3. Enter the name of the service item (Convenience Fee).
  4. Choose the account used for the convenience fee.
  5. Click Save and Close.

Now, let's create an invoice for the convenience fee with the same date of the payment and select customer.

Ok so what you are saying is that the function that was currently working perfectly, is now broken and I shouldn't use it? Seems like a great way to lose customers! :)

Allow me to share additional insights about adding a convenience fee to invoices, benjid.

 

In some cases, your business can charge customers a convenience fee for using a credit card, but there are rules, exceptions, and state laws to ensure that you stay compliant with the terms of your merchant processing agreement.

 

If your state supports charging convenience fees, you can add another line item for the fee. Here's how to create a service fee item:

 

  1. Go to the Sales menu and select Products and services.
  2. Select New and then click Service.
  3. Give the fee a name such as Convienience fee.
  4. Fill out the rest of the fields.
  5. Click Save and close.

To record the overpayment, create a credit memo. Then, create a new invoice for the service fee and use the credit memo as the payment.

 

You can refer to this blog for other recommendations on how to process credit card payments with low fees and how to manage them as well. 

 

you wish to look into our QuickBooks Payments where it allows your customers to pay online with the fees already charged to it.

This doesn't really solve the problem though.

When I invoice a customer, I don't always know ahead of time how they are going to pay.

I can't just add a convenience fee if they are going to pay by check.

I appreciate you for getting back to us here in the Community. I can help you resolve the problem regarding adding a convenience fee in QuickBooks.

 

Since the new feature is working fine at first, I recommend performing some basic troubleshooting. This process will help identify if the cause of the issue is related to the browser or the system.

 

If the issue persists, the browser's stored cache may be full. It can cause unusual behavior in QuickBooks, such as features and options malfunctioning. 
 
I'd first suggest logging into your account using a private browser or incognito mode. It doesn't store data in the cache and will be a great way to isolate browser-related issues.

 

If you're using Mozilla Firefox or Microsoft Edge, press the CTRL + Shift + P shortcut on your keyboard. For Safari, hit Command + Shift + N. Press CTRL + Shift + N if you're using Google Chrome. 

 

From there, go back and test out the beta feature again. If it works fine, let's clear your browser's cache to have a clean slate.

 

If private browsing doesn't work, use another supported web engine. This way, you'll get the best and most secure experience with QuickBooks.

 

For those existing transactions that listed the fee as an overpayment, It would be best to contact our QuickBooks Support. All beta features are under observation and will need to be reported to them.

  1. Click the Help tab in the upper-right corner.
