Default Accounts Receivable Account

Whenever we create a new invoice, it automatically prefills in an AR account.  How do you change the prefilled AR account?  We have a default account that we would like to use and it currently set for an AR that is used few and far in between.  Thanks!

You'll have to manually select the desired account first when creating invoices, @CURDC-VB.

 

Doing so lets QuickBooks Desktop save and recognize the last entered account on an invoice. And, the said account will default every time you create invoices.

You'll want to customize your invoices to personalize them and make them more appealing to your customers. Also, you can run and then customize the Transaction List by Customer report to keep track of all the invoices and the payments that go with them. Here's how:

 

  1. Go to the Reports menu at the top.
  2. Select Customers and Receivables, and then choose the Transaction List by Customer report.

  3. Tap the Customize button, and then go to the Filters tab.
  4. Search Transaction Type, and then pick Invoice and Payment from the Multiple Transaction Types drop-down.
  5. Click OK, and then OK again when you're ready.
  6. You can also select the desired date from the drop-down, and then hit Refresh to apply the changes. 
  7. To save this report, you can click the Memorize button at the top. This way, you can quickly access them in the future.

How to set a Default  Account Receivable in a Credit Memo?
We have more than 1 and when we try to do a CM always go to the other one instead of Account Receivable

I'm here to share more information about setting a default account in QuickBooks Desktop.

 

As of now, the option to set a default account is unavailable. However, the system will remember the accounts or the information of the last transactions. Here's how to turn the feature on:

 

  1. From the Edit menu, select Preferences.
  2. On the General tab, go to My Preferences.
  3. Under AUTOMATICALLY RECALL INFORMATION, tick the Automatically remember account or transactions information button.
  4. Select Pre-fill accounts for vendors based on past entries.
  5. Click OK.

Hi QB support

Even though my CM last number is 18327 every time we try to create a new CM, QB proposes Credit No. 3 and we don't have Credit NO.1 or 2....

How can we tell QB the Last Credit Memo No. or the next Credit Memo No.?

I'm here to share the sequential number within the Credit Memo in QuickBooks Desktop.

 

The Credit memos appear to follow the same numbering scheme as invoices. Therefore, if you generate a credit memo and your most recent invoice entry was 100, the number will automatically populate as 101.

 

You can also use the symbol "CM-0001" on the Credit Memo, and the computer will automatically continue the numbering on your subsequent input.

Alternatively, we can alter the data, add or remove columns, alter the header and footer information, and even change the report's font and appearance. Get some ideas here: Customize reports in QuickBooks Desktop.

Default Accounts Receivable Account

Hello everyone,

I am having the same issue with this in QB online version. Its been awhile since i dealt with a company that holds inventory and I am trying to find the best possible solution, because its years of receivables hitting the wrong receivable account. Can anyone provide some assistance? Thank you in advance for your time.

I can certainly understand how an ability to change the accounts receivable account associated with invoices could be useful and have submitted a suggestion about it as of today.

 

You can also submit your own feature requests while signed in.

 

Here's how:

 

  1. Use the Gear icon, then go to Feedback.
  2. Enter your suggestion(s) in the Have feedback? window.
  3. If necessary, attach a file with your Camera icon.
  4. Select Next.

Default Accounts Receivable Account

I have recently switched to QB Online and transferred all of my desktop history to Online. However, Online is now creating invoices with it's AI capabilities and has assigned each invoice no matter which customer to a single A/R account when each customer has a separate A/R account. How can I change this manually in QB Online. Thank you!

One option is to set up an Account Receivable (A/R) account, but to move the balances, you'll need to create a Journal Entry. If you're unsure about selecting the correct accounts or the best way to record this, it's advisable to seek guidance from an accountant. It will help ensure that your accounts remain accurate after the changes are made. Finally, double-check that the bank's accounting preferences are set up correctly.
