Error when creating customer statements

I called quickbooks and spoke with Amy which was a total waste of time.  She said I have to print each statement individually.  I told her I have been with Quickbooks since 2006 and the last 2-3 months is the only time i have had problems printing statements.  She didn't care and when I asked to speak to tier 2 she said "no"

Total waste of time.  Ridiculous.

I called as you suggested and that was a total waste of time.  Amy, from Quickbooks, told me to print each statement individually.  I laughed at her.  When I asked to speak to tier 2, she told me no.  I have been with Quickbooks for almost 20 years and this is not acceptable.  They need to let us go back to a previous subscription that actually works.

  6. Enter the code and click on Continue.

I spent a LONG time on the phone with a lady who was very nice, but also didn't understand why the programming had been changed. Every time I run Statements,  I send messages to the help. This really shouldn't be that hard to put back like it was in the older versions. Nobody is actually DOING ANYTHING to fix the problem! You just keep telling us to do them manually. Thanks for making our work load so much heavier.

Can you please send this issue to whatever department can request or work on a fix for this problem.  So many of us are frustrated and it seems that nobody from QB who replies to these comments understands the problem.  Printing statements has never been an issue for us until we had to do the last mandatory upgrade.  Something in that upgrade changed and it needs to be corrected.

Let's think about this with common sense.  QB is designed for small, medium, and medium to large businesses.  With the said, the 4500 cap on statements is ridiculous.  QB does not allow you to delete old and/or customers that have any kind of activity.  A business can easily hit the 4500-mark whatever size they are. 

Keeping QB running smoothly and using a 4500 max statement seems like a task that can be achieved.  Yes, it will take time, but there are competent computer experts that can tackle this issue. Customers complaining (many of us) should be enough to have this changed.

You are wrong.  It is your issue not any of our companies.  It is as if where you check the box "include transactions over 30 days past due" is not recognized as being checked.  It should only pull up customers over 30 days or whichever number you put in that box (in our case, we like to send notices after 30 days).  Before this issue, if you did not check that box, that same error message came up about max of 4500 customers. So then once I would check the box (because sometimes I forgot to check the box) it would populate only our customers 30 days past due.  IT IS NOT RECOGNIZING THIS BOX IS CHECKED.  I do not know how else to explain to you.  I have called in twice and screen shared and sat on phone for an hour.  I have explained for your people to look into it not recogzing the customers over 30 days box- NO ONE LISTENS. This should be an easy fix on your end, instead each and every one of YOUR PEOPLE are blaming every business with this issue.  Check into the issue I have explained here.

When you condense your past files in QuickBooks Desktop (QBDT), the process primarily serves to streamline your company data file by removing old, closed transactions and summarizing them into journal entries. This can significantly reduce the file size, which may improve performance and mitigate issues such as slow loading times and crashes associated with large data files.

 

Here’s what QuickBooks typically does during the process:

 

  • Saves an archive copy of your company files.
  • Removes old, closed transactions.
  • Summarizes old, closed transactions. Condensing typically creates summary monthly journal entries for the old, closed transactions and places these summary transactions in the current, working version of the QuickBooks data file.
  • Clears the audit trail. If you clean up a company file and indicate that the company file should be condensed, QuickBooks clears the audit trail before the “removed closed transactions on or before” date.

 

The condense file process typically means creating a copy of the QuickBooks data file that you save and put away someplace and then creating a scaled-down version of the working company file. The command that you use to condense the QuickBooks company file, however, also allows you to create almost-empty company files.

 

Additionally, I recommend backing up your QBDT company file before proceeding with condensation. This way, we can make sure that you can restore your data file in case you run into trouble.

Let me provide information about the Condense feature in QuickBooks Desktop (QBDT).

 

The Condense Data utility in QuickBooks Desktop allows you to reduce the size of your company file by removing transactions outside of a selected date range, helping to streamline your company data file and improve it's performance. However, it does not specifically allow you to delete old customers to get below the 4,500 customer limit.

 

Furthermore, if you have reached the maximum limit of 4,500 customer when generating a customer statement, you can delete the customer with no associated transactions or those marked as inactive. Before proceeding, make sure to create a  backup copy to prevent any data loss. Here's how:

 

  1. Open your QuickBooks Desktop company file.
  2. Go to the Customers menu, then select Customer Center.
  3. Find the customer you want to delete, Then, right-click and select Delete Customer: Job.
  4. Click OK to confirm.

This did not work.  You cannot delete a customer marked inactive with old transactions associated with them.

The inactive customers should not play into the 4500 customer limit when trying to create statements.

Please find a fix. Clients with 300 statements to print should not have to waste so much time printing statements. This is really stupid.

As I have said since this issue started over a year ago it is though Quickbooks is not recognizing that we have only customers over 30 days checked- We have 2 people passed due right now and it tells me I have 4500.  This is a Quickbooks issue and no one cares to look into it.  We have all tried over and over and over.

  5. Enter the single-use code you received in your email and hit Continue.

Furthermore, you can never miss a transaction again by memorizing it in QBDT. This way, the program will automatically create one to help you skip manual entry.
