Next step for the Moderator is to talk to Tech Support software, and ask their programmers if this can be done, and how long it will take to get this into production, instead of just posting the same answer about selecting individual customers. If your programmers can't make this happen, then we will all know the answer, that we will need to move on from Quickbooks, as your software team is incapable of handling a simple programming feature that all other software companies can do. Get us some feedback from your supervisors in the development team so we know what are next steps should be. Is this inadequate software going to be updated to fix this problem.
We just encountered this error after upgrading from 2021 to 2023 since support for 2021 was ending. We are working around it by selecting statements by customer type, rather that all customers. At the moment, we do not have more than 4500 customers in any given customer type but this is only a band-aid.
Please email [email address removed] about this issue. Obviously, no one that monitors this site has the ability to get this problem resolved. Maybe if enough of us email this address someone with a little authority can get some results.
Wow! They won't allow me to post the email address. I've reached out to an email address that hopefully will have an impact. I'll keep you all posted. Not getting my hopes up!
I have been seeing more emails lately regarding this unusual "statement" issue. It has been a problem since the beginning. I also had major issues updating the QBPOS to QBD23. I finally got in touch with the Office of the President, and I did get results but not on this specific problem. I haven't had time to focus on, but I will now.
I have thoughts that maybe they are not putting attention to it because they are going to make the desktop go away altogether within 5 years anyway. I did not hear that officially, but it is a hunch.
I used to have so much respect and high regards for QuickBooks. They have completely diminished my thinking on their product.
Oh I hope they don't get rid of desktop! I tried the online version about 5 years ago for another smaller organization and was expecting to like it better and did not like it at all. Sigh. Well, thank you for trying on this! Much appreciated!
Well, this thread can be closed. They have no intention of fixing!
I received the following from Tech Support as I tried to pursue this issue further:
I've shared your feedback and the link from our community site with our Office of the President team as well as sharing product feedback through the help drop down in my program. I've also shared this feedback with contacts I work with that partner with our engineers. Unfortunately, at this time there is no plan to increase this limit. Our engineers have taken this feedback seriously. They are focused on ensuring the program doesn't crash when creating statements and decided that going above 4,500 customers could cause the program to crash.
I know this limitation impacts your workflow of generating statements and I'm sorry that there is no plan to change the limitation in the near future.
You can close the thread if you want to, however I did get in contact with a higher representative that is going to talk to her Supervisors and Engineers. They might have known at the top what was going on, or the people that have received the complaints on the lower tier level were not forwarding it to their supervisors. The last time I reached out to this particular office I did get results. They actually rewrote the POS system so I could import the inventory into QBD23. At the time of the conversion, they were written on two different platforms. That didn't make sense to me since it was the same company. The problem was resolved.
They couldn't promise me that it would be fixed but they did say they would look into it and get back to me. At that time, I brought up the questions regarding them discontinuing the QBD within a 5-year period. They said they have not heard anything like that as of yet. Time will tell. I do have confidence that I will get an answer one way or the other even if it is not what we are looking for.
This is bull. If I had known this I wouldn't have bought Enterprise 24. I've done all the steps, multiple times, and the problem is your programming. Why can't someone put it back the way it was in the older versions? If anyone has another system they've tried that makes statements easy, like they used to be, please let me know. This is frustrating. I've got about 7000 customers and only need 100-200 statements a month. Why doesn't the "don't print" options work anymore?
It has been three weeks now since I did here from the Office of the President. Did not hear back however this morning was a critical update 5/3/2024. Hopefully it was fixed.
Wow. Completely losing any semblance of trust in Intuit at this point. Has this really been ongoing for 2 years?
Almost everyone is saying, hey the 4,500 selected customer limit is probably okay, just fix the filters so it reduces the selected customer count based on the balance, inactive, and other filters to the right.
We can understand the intent of implementing the limit to prevent problems, but Intuit has BROKEN their statement functionality for many of their Enterprise customers. I would wager this flawed implementation has caused WAY more collateral damage than it has prevented.
Intuit needs to do one of the following:
We updated last night. We still have the problem. Statement printing is blocked by the 4,500 max customer selection limit regardless of the filters set to the right (inactive, balance, etc).
We are on Enterprise 24 release R6P (64bit)
R6_66
When we create customer statements, we select 'All customers' and 'Do not create statements: with a zero balance'. When we click 'Print' an error comes up that says:
Quickbooks encountered errors while creating statement. This may be because of selecting too many customers. Try reducing the number of customers selected (Max of 4500) and create statements
We only have a dozen or so customers with a non-zero balance.
I appreciate you joining the thread, @STRATOSMICRO.

I've also added this article for future guidance in entering charges directly into the customer’s register: Create statement charges.
You can always stick around if you have further concerns with QuickBooks Desktop. Just post here again, and I'll help you out.
I've contacted support in every way possible. Enterprise has turned running statements from a 5-min tops procedure to 30-45 minutes to go through all my customers and select the ones I need printed. THIS IS NOT AN IMPROVEMENT!! It shouldn't be that hard for your programmers to make the changes back to the way it was in Pro.
Hello -
I am having this same issue and I just UPGRADED from 2021 desktop pro to 2024 ENTERPRISE SILVER.. I never had any issue with printing 400 statements from the 2021 desktop pro.. Why is this an issue with ENTERPRISE SILVER??? This is not working for our needs with QB.. Please help with this matter.. I've tried updating, rebuilding the file, and the other steps above..I just put this on our pc's and already ran into other issues with the XPS pdf viewer and now the statements won't print.. The error is saying cannot exceed 4500 but we only have about 400 statements to print, so that's 10% of what the error message is saying.. From what I am reading from last year in this same thread, INTUIT doesn't seem to care about the customer's concerns and seems this has been an issue before March of 2023.. We are now in JUNE of 2024 and I have a NEW download of Enterprise Silver V24... What is going on????
Can you send me that email address? I just saw in a thread.. my email is on my website at www.chamberdirectoryservice.com
Thanks in advance!!!
Yes, the online version is NOTHING LIKE THE DESKTOP!! You'd think it would be pretty much the same but NO.. We have to have different INVOICE TEMPLATES for each project and we use about 100 each year.. Online only allows you to have around 15..
I appreciate the effort you put into updating, rebuilding the file, and performing the troubleshooting steps above, Chamberdirectory. I want to make sure you can get back to business, print your customer statements, and perform your other tasks efficiently.
For confirmation, could you please let me know which steps from the thread you've completed? Did you use the QuickBooks Tool Hub? This helps fix common problems and errors in the program.
If you've already utilized it and the issue persists, I recommend contacting our Customer Support Team. They have the necessary tools to access your account securely and investigate the root cause of the issue with printing statements. Here's how:
The Support Hours for QBDT Enterprise is available 24/7.
I'm all ears and ready to assist you again, Chamberdirectory. Don't hesitate to post a reply if you need further assistance. I'll always be around.
Yes, I have performed all the steps that you suggested earlier. They did not work. The Office of the President did not respond the way I had anticipated and suggested the same as you starting with customer support, Tier 1. I am not to that point because like most business and/or sole proprietors I have many business tasks to perform. Statements are not at the top of the list until once a month, and then becomes the dreaded task. I will be reaching out before the end of June 2024 to get it resolved as I have made progress with the other issues, I have faced with QBD23. I am not a novice with QB, so this has been very disappointing. Recently on another issue the customer service suggested I upgrade to QBD24, but I will not do that until I can get QBD23 running smoothly and efficiently. I understand the world of computer science is evolving every day, it's keeping up with it and running a business with limited resources at the same time in a difficult economy.
To formally address the customer statement issue in QBD23 THERE IS NO FIX! The only way to print customer statements prior to QBD23 (the way most people are requesting) is to UPGRADE TO QBD24 as per customer support.
Welp . . uggh . . Apparently when we upgraded from Windows Desktop 2018 to Desktop Pro 2024 NOWWWW I'm with all of you on the can't run statements. Company I work for has been on Quickbooks since 1999. Very small company with now 7,948 customers in database. Realistically when I run statements only about 5 per month get printed! UGGHHHHHH!!!
How best to handle purging/deleting old customers without manually deleting?
Is there a way to archive or something like that?
There's gotta be an easier work around besides upgrading ?
Open to suggestions on work arounds.
I appreciate the information you've laid in regarding your concern, Angela. I'm here to help you seamlessly manage your customers and customer statements in QuickBooks Desktop (QBDT).
Since there's a limitation of up to 4,500 customer records when generating statements, your idea of removing old customers would benefit you with your situation. Please know that we can't erase them by batch. What we can do is manually delete them in the system.
Alternatively, you may look for a third-party application that supports removing multiple customers at once. Then, integrate it in QBDT. This way, you can maximize your experience and proceed with your needed task.
Furthermore, if you need to send the statements to specific customers, I recommend selecting them manually. For more information, please refer to this article: Create and send customer statements in QuickBooks Desktop.
Moreover, being able to batch-delete customers and expanding the limitation of customer records in statements would be helpful to every user. With this, I recommend sending feedback to our product developers. Your feature suggestions are valuable to us and could help our team improve the program.

I have the same problem with Quickbooks enterprise 24.0. I tried to update, verified my data and rebuild. All was good. I restarted Quickbooks and I still have the same problem.
I appreciate the steps you've taken in an attempt to fix the issue you're experiencing with your customer statements in Quickbooks Desktop (QBDT), Janey. I'm here to help you out with this matter.
After troubleshooting, if you still get an error when choosing a total of records below the limitation threshold, I recommend reaching out to our support team.
Specialized tools are available to them, allowing secure access to your account for a comprehensive investigation into the root cause of this unusual behavior. They will be able to offer you a suitable solution to resolve the issue.
To contact our QBDT customer support team, you can follow the steps below:
Furthermore, it's important to note that you are limited to reviewing a maximum of 4,500 customer statement records. If you have more than that, you will need to manually select them. You can refer to this article to get more information about it: Create and send customer statements in QuickBooks Desktop.
In addition, utilizing QBDT allows you to generate reports for an overall view of your financial status. For instructions on how to do this, refer to this resource: Customize reports in QuickBooks Desktop.
