Generate an Open Sales Order Report by Customer with Item detail

Looking for a way to generate an Open Sales Order Report by Customer Detail that also show each individual line item associated with the Sales order. Is this possible?

Thank you for visiting the QuickBooks Community. I'd be happy to help you generate the Open Sales Order by Customer report that shows the line items in the Sales Order.  

 

To get this information, you need to customize the existing Open Purchase Orders by Job report.

 

 

Here's how :

  1. From the Reports menu, select Purchases.
  2. Select Open Purchase Order by Job
  3. At the top left, click Customize Report
  4. On the Display tab, select the following columns: Type, Date, Num, Source Name, Item, Item Description, Qty, Open Balance and Amount.
  5. Click the Filters tab, then choose the following filters: Transaction Type = Sales Order, Paid Status = Open and Received = Either.
  6. Click the Header/Footer tab and change the Report Title to Open Sales Order Detail by Customer.
  7. Select OK.

Hello

I followed the steps for this report and the quantities are showing in the negative. How can I modify this to not be in the negative without having to modify in Excel? This is going to be shared with our sales team and the negative amounts will be confusing.

Generate an Open Sales Order Report by Customer with Item detail

I'd like to shed light regarding the negative quantity figures that showing on your Open Purchase Order by Job report, @dtretton.

 

The Qty column of the Open Purchase Order by Job report will normally show as negative since the PO is still open. The negative figures indicate the number of the quantity of the items that have been deducted from their original qty.

 

To turn the numbers into positive, you'll need to apply them on the bills/expenses/checks. 

 

Here's how you can create a bill attached to the PO:

  1. Click the Vendors menu.
  2. Select Enter Bills.
  3. Choose the Vendor name.
  4. Press on the Select PO icon at the top of the transaction.
  5. On the Open Purchase Orders window, choose the vendor name.
  6. Mark the PO created for that vendor.
  7. Click OK. This will add all the items from the PO.
  8. Hit on Save & Close.

Generate an Open Sales Order Report by Customer with Item detail

Is there a way to get the transaction notes on the sales order to print on this report?  I tried to customize the report to include the note field but it is empty even though I put some test information in both the customer note and transaction note field.  I would like to be able to run this report and have a note or status to know where we are with the job.  Waiting on equipment, ready to bill, waiting on PO, etc.  Thanks!

The Open Sales Orders by Customer Report.  If there was some way to view the notes that are entered under transaction then I could have a status entered and when the report is run be able to see what status each sales order is in from the report.  Thanks!

I've got the steps on how you can view the Notes in your reports by using the QuickBooks Desktop, mes17. 

 

When using the Custom Filter to search for notes, QuickBooks will take the word you enter and give all the customers you assigned or added these notes to. Simply follow the steps outlined below to accomplish this:

 

  1. Pull up the Open Sales Orders report.
  2. Click Customize Report.
  3. Go to Filter, choose Notes, then select an option.
  4. Click OK to save the filter.

I ran the report and have the Notes column showing.  It however is blank.  I had added test data in both the customer notes and transaction notes.  Do you know where the Notes are pulling from for this column on the Open Sales Order by Customer report?  Thanks.

The option to show the data in the Notes column when running the Open Sales Orders by Customer report is unavailable. Since there's no Notes field in the sales order, only the sales form transactions that have this field will reflect in the Notes column. In this case, we can enter additional notes in the Memo field when opening a sales order on the report. Once done, follow the steps to show the Memo column.

  1. On the Open Sales Orders by Customer report, click the Customize Report.
  2. Go to Display.
  3. Enter Memo in the Column field.
  4. Click OK to save the filter.

Like to run a report   Customer Open Order with any notes associated with the order, Delays, CO, ETC  When I run the report with Notes - it does not show on the  - See below  Photo 1 is the note on a specific Sales Order   Photo 2 is the open order report with Notes and its blank

Thanks for joining this conversation and sharing a screenshot. Allow me to jump in and help you with the report you'd like to pull up in QuickBooks Desktop (QBDT).

 

Currently, we're unable to display the notes you added to a customer's sales order when running the Open Sales Orders by Customer in QBDT. In the meantime, you can use the Memo field instead and add it to the report as a workaround.

 

The memo box at the bottom of the transaction page serves a similar function as the Notes section. Here's how to enter a memo:

 

  1. In QBDT, go to the Customers menu at the top.
  2. Click Create Sales Orders.
  3. Fill out the necessary fields.
  4. On the bottom portion of the window, enter a description in the Memo section.

 

After that, pull up the Open Sales Orders by Customer again and customize it to show the Memo column. Here's how to do it:

 

  1. Go to the Reports menu at the top.
  2. Select Sales, then Open Sales Orders by Customer.
  3. Click Customize Report at the upper left.
  4. In the Columns section, check Memo.
  5. Tick OK.

 

In addition, you can also export the report to Excel and manually add information relevant to your business needs. You can refer to this article for the detailed steps on how: Export reports as Excel workbooks in QuickBooks Desktop.
