How do I add multiple lot numbers to a single part using advanced inventory?

Hello,

 

I have recently downloaded the Advanced Inventory Module in Quickbooks Enterprise.  What I am trying to do is add multiple lot numbers to one item.  For example, I have item #766837.  This item has lot numbers 7001 & 0001 each with different quantities. How do I make this happen?

Welcome and thanks for posting your concern here in the Community, @LindsayB1

 

You can add multiple lot numbers to one item. I'll show you how: 

 

  1. Go to Inventory, then select Adjust Quantity/Value on Hand.
  2. Select the Adjustment Type drop-down, then select Lot Number.
  3. Select the Adjustment Date.
  4. In the Item field, enter the item name, or select the small arrow icon and select it from the item list.
  5. Enter the lot number in the Lot Number field.
  6. In the New Count column, enter the number of items in that lot. To assign a different lot number to more of the same item, or to assign a different lot number to a different item, repeat steps 4 and 5 as needed.
  7. When finished, select Save & Close.

 

Once done, confirm the accuracy of your entries by running the Serial/Lot Numbers in the Inventory report.

I tried this- the only problem I have, is that when I go to "Save & Close", QB says I cannot record a blank transaction.

 

Do you know why this is popping up? I have all of the fields filled in.

I tried this, however, Quickbooks is telling me I cannot record a blank transaction when I try to save and close.

 

Do you know why this is?  It looks like I have everything filled out.

I appreciate you getting back and providing updates when following the steps above.

 

To isolate the issue of why you're unable to save, let's try adding multiple lot numbers to one item to the sample file in QuickBooks Desktop (QBDT). This way you'd know if your company file is damaged. 

 

To get a sample file, here's how:

  1. Go to the File menu at the top.
  2. Select Close Company.
  3. Click the open a sample file drop-down arrow.
  4.  Choose a file.

 

If you were able to save without getting any error message using the sample file, I recommend running the  Verify Rebuild Data tool that helps identify and repair data issues within your company file. But before doing so, let's ensure that your QuickBooks Desktop is updated to the latest release and create a backup of your company file.

 

Once updated, here's what you'll need to do:

  1. Click the File menu at the top.
  2. Go to Utilities, then choose Verify Data.
  3. If QuickBooks detected no problems, there's no further action needed. If you receive a message, "Your data has lost integrity", the file is damaged. Just continue to Rebuild Data to correct the problem.
  4. When you Rebuild Data, you'll receive a message to back up your company file, just click OK. The utility starts as soon as the backup is finished.
  5. Click OK when you get the message "Rebuild has completed".
  6. Run Verify Data again to check for remaining data damage.

Once done, check to see if everything is working now.
