How do I copy a chart of account from one company to another?

Hey there, Gangelo.

I'm here to help with exporting or copying your Chart of Accounts. With QuickBooks Enterprise we have Utilities that assist with tasks like these. They would be Export and Import. The first step is exporting the Chart of Accounts.

Step 1: Exporting a  List

  1. Go to File menu, then select Utilities
  2. Select Export, then Lists to IIF Files.
  3. Select the list you want to export,(which is Chart of Accounts) then select OK.
  4. Browse the location where you want to save your file and select Save.

Now that we have copied the Chart of Accounts from one company we can work to bring it into another or import that list.

Step 3: Import the list

  1. Sign in to your company file as Administrator.
  2. Switch to single-user mode.
  3. Go to the File menu, then select Utilities.
  4. Select Import, then IIF Files.
  5. Import the Chart of Accounts.

After bringing in that list, you'll still need to set the opening balances for those accounts. We have an article that goes into a more detailed process about exporting lists from the old company file into a new data file. I'm here if you need any help or have any questions.

Hello @gedgar360,

 

Let me help share another method to use so you can copy your list of accounts from one company file to the other.

 

To start with, you can export the list of accounts in question in a new worksheet as an excel file. Let me show you how:

  1. Go to Lists.
  2. Select Chart of Accounts.
  3. On the Reports menu, select Account Listing.
  4. Customize your report and remove the unnecessary columns.
  5. On the Excel menu, select Create New Worksheet.
  6. Select In new worksheet.
  7. Click Export.

Once done, you can open the other company file where you wish to create a copy of the list of your accounts. Follow the steps below to import the file:

  1. Go to Lists.
  2. Select Chart of Accounts.
  3. On the Account menu, select Import From Excel.
  4. Select the recently saved Excel file.
  5. Under Add or Select a Mapping, select Add new.
  6. Map your accounts according to QuickBooks requirements and your Excel file.
  7. Select Import.
  8. Click Yes.

How do I copy a chart of account from one company to another?

I imported a chart of accounts from one of our facilities to another using iif export.  Then I imported the same way.  I had 6 errors and plan to fix manually.  Unfortunately, in the export the name column has numbers for all accounts and then the name.  When I imported the iif only the name imported.  An example: Export was 110.100 - A/R Patients; Import into new company is A/R Patients.

I can share some information about adding account numbers, @warren1955.

 

First, make sure to activate the account numbers from your Accounting Preferences. This will make sure that the account numbers will be recognized when importing the file.

 

Follow the steps below:

 

  1. Go to the Edit menu and choose Preferences.
  2. Select Accounting and go to the Company Preferences tab.
  3. Click the Use account numbers checkbox.
  4. If you have subaccounts, select the Show lowest subaccount only checkbox. 
  5. Select OK.

 

You may also consider editing the account numbers of those accounts. 

 

Here are the steps:

 

  1. Go to the Lists menu and select Chart of Accounts.
  2. Right-click on the account that you want to edit.
  3. Click on Edit Account and update the account details.
  4. Select Save & Close.

After setting up your chart of accounts, you can now create an invoice in QuickBooks Desktop and record or enter a bill in QuickBooks Desktop.

When I copy a chart of account, the respective currency is not copied. How can I copy every currency.

How do I copy a chart of account from one company to another?

I'm here to provide some insights about copying currency in your Chart of Accounts, @kobutacus.

 

When you copy data, there are certain information that are imported in QuickBooks Desktop. To learn about the list and transaction types that can be copied in to your QuickBooks file, please see this article: Import and export data in QuickBooks Desktop

 

Since the currency wasn't copied, you'll have to record them respectively. 

 

Here's how:

 

  1. Proceed to the Lists menu, then choose Chart of Accounts.
  2. Right-click on the account that you want to edit.
  3. Choose Edit Account.
  4. Update the account details and input the currency.
  5. Lastly, click Save & Close.
