How do I merge my Quickbooks cash account with my checking account?

Thanks for checking in with us, userjsan1131.

We only do merging of accounts to combine your old and new bank transactions into one account. Merging two accounts means combining both transactions so let's make sure to save the reconciliation reports if you're merging bank accounts. Before doing this process, please take note of the following:

  • Please know that this process will delete your reconciliation reports, and this is not reversible. You can save a copy by going to Reports, search for it, open each one, and save as PDF or Export to Excel.
  • You can only merge bank accounts with the same Account Type and Detail Type.
  • If the old account has an online banking connection, you'll want to disconnect it first. Then, you can reconnect using a new account after.

Here's how to merge the accounts:

  1. Go to the Gear icon on the top menu, then select the Chart of Accounts.
  2. Find the account that you wanted to keep and then select the drop-dow in the Action column.
  3. Select Edit to check and take note of the details like Name and Detail Type, and check if the Is sub-account option is marked. If it is marked, remember the parent account associated.
  4. Click Cancel to return to the COA.
  5. In the account that you wanted to remove, select the drop-down in the Action column. Choose Edit and make sure to remove the symbol in the name of the account for a seamless merge.
  6. Change the Name and Detail Type, Mark Is subaccount as appropriate.
  7. Press the Save button. Then tap Yes to confirm that you want to merge the two accounts.

To learn more about this one, see the Merge duplicate accounts, customers, and vendors in QuickBooks Online article. After merging, you can run an account quick report to see your list of transactions. Just click the down arrow beside View Register and choose Run report.
