How do I record/apply one single payment for two separate invoices/pledges?

Thank you for choosing QuickBooks as your accounting software, acelee69. We're happy to help you apply the payment to the invoices in QuickBooks Online (QBO).

 

We understand the importance of keeping track of our payments in our program to ensure the accuracy of business. In QuickBooks, we can use the Receive Payment to apply a single payment for multiple invoices if they have the same customers. 

 

 Let me guide you through the steps below.

 

  1. Click on the +New button.
  2. Pick Receive Payments.
  3. Choose the Customer in the dropdown.
  4. Enter all the information needed.
  5. Put a checkmark beside the invoices you want.
  6. Then click Save & Close or Save & New.

However, if you want to link a single payment to multiple invoices with different customers, you can create a Bank Deposit and then link it to the invoices. See the steps below:

 

  1. Go to the + New icon and choose Bank Deposit.
  2. Proceed to the Add funds to this deposit section.
  3. Enter the customer names in the Received From column.
  4. Use the Accounts Receivable for the Account for you to link it to the invoice.
  5. Add a Payment Method and the respective amount you received. 
  6. Once done, you will need to link the payment to individual invoices. See the complete steps in this article: Link a deposit to an invoice.
