I'm here to share some information about how purchase orders work in QuickBooks, yvonne14.
When you have multiple purchase orders for the same supplier it can be useful to merge them all into one before sending it to the supplier. Currently, the option to directly combine two open purchase orders is unavailable in QuickBooks Online.
As a workaround, we'll have to edit the purchase order then delete the other one. This way, we'll be able to record and send all your orders in one transaction. You can follow the steps that I've listed below:
- Select Expenses from the sidebar menu.
- Go to the Expenses tab.
- Locate and click the purchase order to open it.
- Add the appropriate product/service item and quantity (based on the other purchase orders).
- Click Save and close when you're done.
Once done, we'll have to go back to the Expenses tab and locate the other open purchase orders. Then, let's select Delete under More to get rid of the duplicate.
In case you'll need to track all the money you've paid to your vendors for a particular date range, we can customize the Transaction List by Date report to show all the payments.
