Hello there, @ges48068.

 

You can view your invoice audit history to check if your customer's already viewed it. However, the ability to know whether they have printed it is currently not available. I can guide you on how to do it.

  1. Open the customer's invoice.
  2. Scroll down to the bottom of the invoice page.

How to tell if an invoice has been printed or not? thanks

I have same concern too, I remember I have seen somewhere to show invoice printed, in side of invoice somewhere when I was starting using QBO, but after I running couple of months of business, I couldn't find this information anymore, there is no where to show any invoice printed information.

 

Also there is check box on the top of invoice, says print later, I don't know is it related to our concern too?

Welcome to the QuickBooks Community, Jia560! You have come to the right place for help. If you would like to see if your invoice printed information, follow these steps below.

  1. Go to Sales and select Invoices.
  2. Select the Invoice in questioning.
  3. Once the invoice opens, select Edit Invoice.
  4. Using the bar as seen in the example below, click More.
  5. Pick Audit History.
  6. Select Show all.

From here, you will be able to see the status in the highlighted Printed area below.

Regarding your second question, to Print later option simply means storing your invoices or sale forms to print in a batch or single in the future. Here's how to print your invoices that were marked Print Later:

  1. Go to the Sales tab.
  2. Select the All Sales column.
  3. Use the Filter option and change the type to Invoices.
  4. Under the Delivery Type, select the drop-down and choose Print Later. You could also use the Filter to choose the exact dates and customer and so forth.
  5. Choose the invoices and use the Batch actions drop, and select Print transactions.

Thank you for your reply, I have checked out, but it is something wrong, I have actually printed out, but it still shows "not printed". I have refresh the page, wait quite long time, the status not changed.

You can check the status of your invoices through a private window. I'll show you how.

 

In most cases, unexpected results while working with QuickBooks are caused by the browser you're using. The private browser prevents any virus infections that can cause unexpected behavior when using QuickBooks.

 

To save you time, use either of these keyboard shortcuts:

 

  • Google Chrome: Ctrl Shift N
  • Safari 11 or newer: ⌘ Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P

 

If it works fine, I recommend going back to your original browser and clear its cache to start fresh.

 

Moreover, you can use another supported and up-to-date browser to narrow down the result.

Even in incognito mode my audit view does not show when another user has indeed printed the invoice.  This makes it very easy to have duplicate invoices printed and mailed!! Any ideas?

Hello @KLKL13,

 

In QuickBooks Online, the Audit Log history does not show if a user has done printing an invoice. Instead, a printed invoice will show you the word Printed on the Printed: section to avoid creating and sending duplicate copies.

So there is no efficient way to track if an invoice has been printed?  Many of our customer do not want electronic bill delivery.

For now, the ability to know whether an invoice is already printed or not is currently unavailable. Although, you can follow the suggested steps provided by my colleague SashaMC to see its status.

I can't tell where it says that an invoice is printed or not in the audit log. I am looking at 2 invoices right now. One I printed today, one I still need to print. The logs look the same. The one I printed does not say PRINTED anywhere.  What am I missing?

It doesn't say printed though. Tonight I printed an invoice, went to the audit log, and it still says To be printed, no PRINTED. This is the same thing an unprinted invoice says in the audit log, so this is incorrect

It’s my goal that you'll see the correct printing status of your invoice on the Audit Log report. Let's run some basic troubleshooting steps to test if the webpage is preventing the Printed information to show on the transaction history.  


To start, log in to your company using a private window or incognito mode. This browsing session operates without the use or collection of cache files, which can cause unusual behavior in QuickBooks Online (QBO). 

 

  • Press Ctrl + Shift + N (Google Chrome and Edge).
  • Press Ctrl + Shift + P (Mozilla Firefox).
  • Press Command + Shift + N (Safari).


If this works, clear the cache of your regular browser to optimize its performance. If the issue persists, utilize a supported browser to check if the one you’re using is the issue.


I know that adding a feature that allows users to automatically view the printing status for sales forms is beneficial for their business. This can help save time because they no longer have to open the Audit Log report and check it. Thus, I encourage you to submit feedback on this idea for our product engineers to look into. Follow the steps below to send your product suggestions.

 

  1. In QBO, navigate to the Gear icon in the upper right and choose Feedback under Profile.
  2. Enter a brief description of how you’d like the online program to work.
  3. Click Next to submit.
