I'm unable to create a new customer in Quickbooks after having created one of the same company. How do I create a new customer that works at the same company?

I get a very helpful error everytime that reads "Something’s not quite right Another customer, vendor or employee is already using this name. Please use a different name." Of course I can't use a different name since it's the same company. So, I need to know how to invoice multiple people at the same company which starts with creating a new customer, which the system prevents me from doing.

You've come to the right place, @klefner-sandcast.

 

You can add a special character on the display name of the new customer so it will not be identical to the customer's name. For example, if the added customer name is "Joesem Enad"Then, you'll need to add an identifier like Middle Initial to change its display name (customer's name will be "Joesem M. Enad"). 

 

  1. Go to Sales from the left menu. 
  2. Select Customers.
  3. In the Customer information add the Middle name then enter the necessary details.
  4. Click Save.

 If you no longer need the duplicate customer, you can make it inactive. This way, the system will allow you to add an identical name when recreating the customer

 

Also, if you're using QuickBooks Online Advanced, you can create and send multiple invoices at the same time. This way, you can work on multiple invoices at once in a single window and send all your invoices with one click. However, if you're using QuickBooks Online Essential and Plus, you can set up an unscheduled recurring invoice so you can edit the template and send it to different customers when you need to. Once your customer pays the invoice, use the Receive payment feature to record the payment. Just go to the + New button from the left menu. For more details, check out this article: Receive Invoice Payments

Thanks!  Though that's not actually the issue, the issue is at the company level, not individual.  That is, I have one client company Company ABC and two buyers (Bruce and Katherine) for two completely unrelated separate projects at that same company company.  I need to send them both their own invoices for their projects but recognize them both with Company ABC - that's where the error is encountered.

Hello there, klefner-sandcast, 

 

You'll be able to save different customers under the same company name. Just ensure that you entered the Company ABC name in the Company field of the customer's profile. You can try doing the process using a private browser to help us isolate unusual responses within the system. Let me show you: 

 

Use these keyboard shortcuts to open a private browser: 

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

Then, follow these steps to create different customers under one company: 

 

  1. Go to the Sales menu and click Customers.
  2. At the upper-right, click New customer.
  3. Enter the first customer's name let's say Bruce and under the Company field, enter Company ABC.
  4. Click Save.
  5. Add the second customer (Katherine) and enter the same company name Company ABC.
  6. Then, Save.

If you're still getting the prompt it's possible that you've already entered a similar customer that is either active or inactive. You'll have to edit the name and add the company.
