Thanks for joining this thread, @jamie_r. I've come to provide information about your concern.
When printing invoices in QuickBooks Online (QBO) the line items order will depend on how you input them in the form. This will only change if there's a service date included. If the Service Date is added, this sorts the items from the oldest to the latest date.
While waiting for the response from our support team, you'll want to perform the recommended workaround in preventing the line item to print in the wrong order. I'll guide you how:
For more information on printing sales forms in QBO, please see this article: Email or print multiple invoices and sales forms.
Also, in case you'll want to make your invoice forms more personalized to reflect your business identity, you can customize the templates you use.
I'm just around the corner if you have any other concerns about printing invoices in QBO. Don't hesitate to post again here. Take care and have a good one.
Your reply makes no sense.
You state.....If the Service Date is added, this sorts the items form the oldest to the latest date....THIS IS THE PROBLEM!!!
You are not understanding that the above you state is the problem. WE NEED A WAY TO RE-SORT INVOICES TO SORT BY "SERVICE ITEM NAME" FIRST AND NOT BY DATE. QBO SHOULD SIMPLY BE ABLE TO CREATE A SORT FILTER TO ALLOW A USER TO SORT BY SERVICE ITEM NAME WHEN THEY HAVE BUILT THEIR INVOICE BEFORE THEY SAVE IT. OR ADD THIS OPTION TO THE TEMPLATE CREATION FEATURE TO BE ABLE TO HAVE TEMPLE SORT BY "SERVICE ITEM NAME".. It is frustrating that this basic need can't be simply understood and fixed. Its as if QBO cannot conceive of a need to sort by anything else but by date!!. Currently one has to manually drag around sometimes hundreds of rows when creating an invoice as QBO will sort by date when one needs to show daily line items, one what one needs to have "service items" grouped first and then sorted with thein the grouped service items by date second. THIS IS A BASIC NEED AND SHOULD BE ABLE TO BE EASILY UNDERSTOOD.
I would say sorting by original invoice line number would be even better and allow to preserve the order saved prior to generating the image.
I understand that you need to sort invoices by their service item name, drefl.
While this option isn't available at the moment, you can send a request about the feature that you want. Let me show you how.
Your valuable feedback goes to our Product Development team to help improve your experience in QuickBooks. You can track feature requests through the QuickBooks Online Feature Requests website.
QuickBooks Online gives you several ways how to personalize reports to get the data that you need. I'm adding this article to see how it works in the system: Customize reports in QuickBooks Online.
Don't hesitate to post again if you have other QuickBooks concerns. The Community is always open to helping you.
This is hopeless...
Another frustrating QBO response...QBO states.."you can send a request about the feature that you want"...... This request has been made by many customer over the last few years to QBO via various forums here and through system feedback. ITS BEEN AT LEAST # YEARS OF REQUEST FOR A SIMPLY SORT BY "SERVICE ITEM" FEATURE. We keep getting back the nonsense initial responses and then the standard..you can make a request...response. THIS IS NOT A CMPLEX ISSUE TO UNDERSTAND AND IT SHOULD NOT TAKE YEARS!!!! TO SIMPLY CREATE A FILTER OR WAY FOR A CUSTOMER TOO SORT ITS INVOICE OTHER THAN SOLYLY BY DATE. THIS IS A BASIC ACCOUNTING SYSTEM INVOICING CAPABILITY!!!. QBO JUST NEEDS TO ADD EITHER FILTER ABOVE THE "SERVICE ITEM NAME" ROW WHEN ONE IS BUILDING AN INVOICE TO THAT IF A CUSTOMER WANTS THEY CAN SIMPLY CLICK ON A "down arrow" THAT WILL SORT BY THAT COLUMN "first" AND THEN SORT BY DATE "second". OR ADD THE ABILITY TO CREATE AN INVOICE TEMPLATE THAT CAN SORT BY "SERVICE ITEM NAME" AS A DEFAULT FEATURE (see the section when building templates that currently shows ability to sort by "type", "week", "month"...ect JUST ADD "Service Item Name" HERE SO ONE CAN BUILD A TEMPLATE THAT WILL SORT BY "SERVIC E ITEM NAME". THIS IS NOT THAT HARD!!!!! WHY TAKE YEARS!!!!!!! TO JUST MAKE THIS EFFECTIVE NEEDED UPDATE.
I feel your pain, my dude. I'm convinced this software team has never actually used the program. Is this better than desktop? Yes. Is that an excuse for basic features like sort and a modular sidebar to be left out of the mix? No. Plus just the shear number of bugs and hidden features (I'm sure to "protect us") is painful. If I had a penny for every time the program just stalls out on a load screen, I'd be making an extra dollar or two an hour...
Listen, Quickbooks- When you made the cash grab like Autodesk and Adobe to move from software purchases to a subscription service, you made the implied commitment to continuous improvement. Let's see some progress for our yearly fees.
Good morning, @mrwizard.
Thanks for joining in on this thread.
I'll definitely take your feedback to our Product Developers so they can consider this in the future. They take the time to review every request and try to add them in the next available update.
However, here are some steps to help you with your stalling issue that you provided us: Why is my QuickBooks Online slow?
Check out our Blog site to keep up with what's new in the system.

100%. It's unbelievable that a company with the resources of Intuit can't find the time/talent to get this basic functionality added to their flagship product. This is one of those things that should have been included since the alpha version years ago. And having entry level support simply copy and paste a canned response every few months to make it appear that someone is actually working on this is ridiculous.
2 years later, still have not fixed it. Intuit worth 136 billion dollars and they cannot get quickbooks online to function as a spreadsheet. Astonishing indeed!
I thought I'd take Candice's advice and check out the blog site to see what's new in QuickBooks Online.
I kid you not, at the top of the page is a blog post titled "QuickBooks Online New Features and Improvements - October 2018". It's April 2022. This company is a joke.
I think I was the 2nd or third person to chime in on this issue over 3 years ago. Honestly, why do we need anything to sort automatically? I enter my items as I want them to appear. I do not need a subtotal for a single line just to make it appear first. That is ridiculous!
Intuit has a HUGE EGO problem. They think they know bookkeeping better than all of us. The ProAdvisors that made Intuit successful are being phased out for LIVE bookkeepers.
I may have found a solution! I had a long invoice from billable expenses for a customer with over 50 lines. When I printed it the lines were all changed up in another order. I made a "COPY" of the invoice and then printed it! Poof its in order! Be sure to delete the copy or first one!!
100% agree
I spent hours on the phone today with QB support. I was told I should download my invoice and correct it in adobe (basically do the work twice). Not impressed at all. This should be a easy fix.
@Meesh wrote:Thank you for the further insight.
The question remains as to WHY is the invoicing sorting...period. I enter my line items as I would like them to appear when the invoice is printed. Sounds really simple to me...
Changing my invoice layout to meet QBO's issue is not an option.
Unfortunately, you then lose all linked transactions, like hardware we buy and sell.
SOLVED
Well Divina, that did it for me. QBO is no longer trying to reorganize my line items. But that it took three years for a workaround is crazy, and there still isn't a way to fix it for good.
Thanks for your help!
It's now October and it appears this issue is still not resolved? That is pretty crazy.
I would like to confirm that it is January 1, 2023 and this issue is still happening. I'm glad I just realized it, otherwise I would have continued to send out invoices with line items that make no freaking sense and dates all mixed matched. I feel so sorry for my customers that have received wonky invoices and I'm very embarrassed.
It puts my products in the middle of the invoice instead of the end, after services, then starts back up with the services but goes back to beginning of month.. If you're going to order by date, it should actually go in chronological order instead of stopping and starting back over.
THIS IS ABSOLUTELY UNACCEPTABLE QUICKBOOKS. YOU'RE A PIECE OF SHHHHIIIIIIZZZZ.
Hello there, 7399socks.
Thanks for joining this conversation. Allow me to jump in and help ensure this is taken care of for you.
I can see how having the ability to sort invoices with service dates would be helpful for you and your business. While this isn't available yet, I highly suggest sending feedback directly to our product engineers. They're always looking for ideas to consider on how to improve QuickBooks Online (QBO).
Here's how to submit feedback:
You can track feature requests through the QuickBooks Online Feature Requests website.
In case you need it, I'll add this article that tackles customizing invoices and other sales forms in QBO for more information: Customize invoices, estimates, and sales receipts in QuickBooks Online.
I also recommend visiting our website for more tips and other resources you can use in the future: Self-help articles.
Please post again in the Community or leave a comment in this thread if you have more questions about invoices or anything else. I'm always here to help. Take care.
Pretty sad that QBO even sorts the items when printing and/or generating a pdf.
Why?
For what reason?
When we build an invoice and input data into it, that is the way that we would like the data to appear when being sent to our customers. I have sent many support requests in for this item. No response. Ever. I might as well keep building my invoices in excel. They have been able to sort since 1997 IIRC.
What a horrible program. Just spent 2 hours online to find out this is an issue.
Was basically forced to online version from Desktop and the program sucks. time to look for another company. I am tired of paying a monthly fee for a program that has TONS of issues.
Would just like to note that is is now February 2023 and still no fix for this. Dumbest thing ever.
Wow - this work around fixes the issue but still don't understand why it doesn't just print what's on the page to begin with. Thank you Divina_N
I just cancelled service. Started with Quickbooks Pro when I started my business in 2000.
I am so done with these guys. Online version is certainly not a replacement for Desktop. Not even close.
What exactly does the work around solve for you? I was not sure if you were trying to sort the order before sending or after sending. I am trying to have the dates sorted in the workbook session, while writing the invoice as I have to count the number of locations for each date before sending. Thanks for any input and POV
