Invoice Forms

I am using QuickBooks Accountant Online and wonder if there is a way to remove the project breakdowns on printed invoices. I use the projects for my organization, but it is unnecessary for my clients to see this; it makes the invoices look too busy and clunky.

 

For example, instead of listing just the products and services invoiced, there are subtotals with headers such as "CUSTOMER:SUBCUSTOMER:PROJECT," which seem redundant.

 

I have tried to uncheck subtotals and billable time, but nothing seems to eliminate these headers. Is there a way to do this?

Let me share some details on how printing an invoice works in QuickBooks Online (QBO), tburch.

Once you print the invoice, it will not show the header for CUSTOMER:SUBCUSTOMER:PROJECT. It will only show the invoice template format you set up on the Custom form Styles page. See the screenshot below: 

 

 

 

If you are referring to removing the project breakdowns on printed invoices once you sent them to your client, then that option is unavailable. The Customer/Project will show in both the Category and Item details section as long as you created a project for that transaction. See the screenshot for the bill as an example: 

 

 

We see consumer feedback as an opportunity to improve the numerous features of our products. I'd recommend giving our engineers direct feedback. They may look into this suggestion and incorporate it into future updates. Let me demonstrate:

 

  1. Go to the Gear icon.
  2. Hit Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.

Thank you for your response; however, this is incorrect.

 

I used the sample company provided by QBO not to share client information, and it performs the same as my invoices do.

 

Even when I print an invoice from my side of things, the headers are still included. See the screenshot below.

In this example, I added "Texas Location" as a sub-customer for "Amy's Bird Sanctuary." As you can see, it includes unnecessary headers that make for a confusing and difficult-to-read invoice. Even when invoicing the sub-customer, the parent customer still appears on the invoice this way. There is no option in the custom forms section to eliminate this.

 

As displayed in the above screenshot, a single product/service takes up three lines on the invoice (eight lines if the columns as spaced as shown above).

Thanks for getting back into this thread, @tburch. I'm here to provide additional information about customizing your invoices in QuickBooks Online (QBO).

 

Based on your attached screenshot, it seems that the details appear in the Product/Service column of your invoice. Thus, you'll want to review if Amy's Bird Sanctuary is also set up as an item and the Texas location as a category.

 

If so, you can untick the Category checkbox to remove it, and you can adjust the layout by clicking Edit labels and widths.

 

However, if this isn't the case, can you please provide a screenshot of your items, customers, and projects list using the QBO test drive? So, I could get a better view of it and share the best solution with you.

 

Furthermore, you can personalize the appearance of your sales transactions by adding specific information to your invoices and other forms to make them more professional-looking.

I will not share a screenshot of my clients for their privacy (as stated in my earlier reply). I do not have my clients listed as products and services or categories... 

 

I utilize the Projects feature in the Work tab on QuickBooks Online Accountant. When I enter time (using +New, "Single time entry"), I choose that project and the product (hours) to keep myself organized. When sending/printing invoices, the customer, sub-customer, and project appear on the invoice. 

 

I have this issue even when the details are in a separate column.

 

Honestly, it seems like poor design on the invoice side of things. I have already given feedback to the engineering team, requesting more flexibility in designing invoices.
